SUMMARY
USA for UNHCR is seeking a highly motivated and experienced Senior Executive Coordinator to provide advanced, high-level executive and administrative support to the Chief Development Officer (CDO) and play a critical role in coordinating key organizational initiatives, managing complex priorities and ensuring seamless operations across the Development division. This role goes beyond the traditional Executive Assistant function, requiring exceptional judgment, professionalism, strategic thinking, and the ability to anticipate needs in a fast-paced, mission-driven environment.
The ideal candidate is a proactive problem solver, a trusted partner to senior leadership, and someone who thrives on managing both detailed execution and big-picture coordination. The incumbent will exercise initiative in managing the CDO's time and the day-to-day functions of the Development division effectively and efficiently, while collaborating closely with a diverse and talented team of professional leaders. The incumbent will maintain strict confidentiality regarding sensitive information, exercising discretion and professionalism in all communications and interactions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Executive Support & Strategic Partnership
- Provide sophisticated, anticipatory support to the CDO, serving as the primary point of contact for internal and external stakeholders.
- Manage complex calendars, travel arrangements, and schedules with a strong understanding of organizational priorities and strategic objectives.
- Prepare the CDO for meetings, presentations, and events by coordinating materials, drafting briefs, and ensuring follow through on next steps.
- Exercise sound judgment in triaging requests, resolving issues independently, and protecting the CDO's time and focus.
- Coordinate cross departmental projects and deliverables on behalf of the CDO, ensuring milestones and deadlines are met.
- Track progress on strategic initiatives and provide regular updates and recommendations.
- Support preparation of board materials, donor briefings, proposals, and other high visibility documents.
- Conduct light research, synthesize information, and develop summaries or recommendations.
- Operational & Administrative Leadership
- Partner closely with Development leadership and other administrative staff to streamline processes, improve workflows, and ensure operational excellence.
- Draft and edit high quality correspondence, reports, and presentations with exceptional attention to detail.
- Manage confidential information with integrity and discretion.
- Oversee meeting logistics, including agendas, minutes, follow ups, and coordination of multi stakeholder participation.
- Serve as the Development division's secretary in high-level strategic planning meetings and related activities.
- Manage key administrative financial operations, such as expense reporting, vendor and contract processing, and procurement coordination, ensuring accuracy and compliance with organizational policies.
- Serve as a thoughtful, professional representative of the CDO, fostering positive relationships with donors, executive leaders, board members, and staff.
- Build strong internal partnerships to support decision making, communication, and organizational alignment.
- Act as a liaison to external partners, ensuring timely communication and follow through.
- Work in close partnership with the Development Chief of Staff to ensure alignment of overall team goals, priorities, and work plans.
- Support the onboarding and training of new hires in the Development division.

EDUCATION and/or EXPERIENCE
- Bachelor's degree preferred.
- 6-8 years' experience in executive-level support to senior leaders, ideally in a nonprofit, corporate or high-growth environment; each year of work experience may be substituted for each year of education required.
Knowledge of:
- Advanced understanding of executive administrative practices, office operations, and project coordination methodologies
- Knowledge of fundraising, donor relations, or development operations (preferred)
