Loray Group is a growing construction and development firm serving Washington DC, Maryland, and Virginia. We specialize in residential and commercial construction and operate with a strong commitment to quality, care, and ethical business practices.

As we continue to expand, we are seeking a highly organized Office Administrator to support internal operations and administrative systems across the company.

Position Overview

The Office Administrator is responsible for maintaining structured administrative processes that support project operations, compliance tracking and internal coordination.

This is a fully in office role requiring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment.

Key Responsibilities Administrative Operations
  • Manage daily office administrative functions
  • Maintain organized digital and physical filing systems
  • Support internal communication and coordination across departments
  • Assist with scheduling and calendar management for team members
Data Entry & Record Management
  • Maintain and update internal tracking systems and spreadsheets
  • Ensure accurate and timely data entry across company platforms
  • Support documentation management for active and closed projects
Payroll Preparation Support
  • Review and organize weekly timesheets prior to payroll processing
  • Coordinate time corrections with field staff and supervisors
  • Maintain accurate records of time adjustments
Compliance & Documentation Control
  • Track Certificates of Insurance and compliance records
  • Maintain permit logs and monitor expiration dates
  • Track company licenses and professional certifications
Operational & Project Support
  • Coordinate inspection scheduling and required appointments
  • Support material coordination and vendor communication
  • Maintain organized records of orders and returns
Qualifications
  • Minimum 2 years of office administrative experience
  • Associate’s degree or higher preferred
  • Experience in construction or a project based environment preferred
  • Strong proficiency in Microsoft Excel and general office software
  • Experience with Buildertrend is a plus
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple responsibilities with accuracy
  • Full time in office availability required
