Job Overview

Will be able to understand general operation of functional unit, including knowledge of staff and program responsibilities. Coordinate tasks and establish priorities in response to workflow of the office or work unit. Perform basic clerical tasks by using a variety of office equipment and information systems (telephone, computer with standard software, fax, copier, etc.).

Minimum Education

High School Diploma or GED (Required)

Minimum Work Experience

Six months related experience and/or training, or equivalent combination of education and experience (Required)

Required Skills/Knowledge
  • Ability to operate telephone, photocopier, fax machines, and PC workstation.
  • Required proficiency in basic word processing, spreadsheet, and database programs.
Functional Accountabilities – Communications
  • Communicate routine and general information to staff, customers and/or public about standard services, processes, and procedures using prescribed, established guidelines or "frequently asked questions".
  • Screen and direct clients/visitors to appropriate source.
  • Secure confidential information and handle appropriately.
  • Gather readily available information from office records to draft e-mails, memos and other documents.
  • Proofread documents for grammar, spelling, punctuation, and basic formatting.
  • Provide answers to requests for general information in written format.
Functional Accountabilities – Office Technology
  • Use a variety of office equipment and information systems (telephone, computer with standard software, fax, copier, etc.) to access, input, and verify standard information.
  • Operate and perform tasks to maintain equipment with a general understanding of its capabilities.
  • Use established filing and data systems, functions, and/or procedures.
  • Review data and information for completeness and accuracy using standard guidelines.
