Overview

Employment in this role is conditional upon successful execution of the contract by the client.

The Work

The Staff Assistant provides comprehensive administrative, organizational, and operational support to ensure the efficient functioning of client’s organization. This role entails performing a variety of tasks, such as document preparation, scheduling, communication management, and logistical coordination.

Responsibilities

Key Responsibilities

  • Monitor and review all incoming and outgoing correspondence/action and determine the proper action to be taken.
  • Forward assignments to appropriate team members.
  • Apply editorial skills and knowledge in proofreading and edit completed work to ensure that the proper clearances and coordination have been obtained and completed assignments meet objectives.
  • Assist with public affairs functions, such as tracking press and other public-facing inquiries and requests, responding to requests, media monitoring, preparing remarks and talking points, obtaining clearances, social media, and developing public affairs strategies.
  • Apply overall knowledge of the office functions to screen and route material of a special interest or sensitive nature directly to the client’s stakeholders, when appropriate.
  • Assist with data entry for required performance documents for staff via the applicable performance management system(s).
  • Keep office phone lists, safe combination information, and other internal information up to date and distributed on an as-needed basis.
  • Manage security requirements for the office and ensure all applicable security protocols are met and observed.
  • Escorting visitors as necessary.
  • Create briefing books for the client and others for travel and other engagements, and photocopy and fax documents, as necessary.
  • Track travel and office expenses, as needed.
  • Maintain business contact lists (e.g., by scanning business cards and maintaining database of contacts).
  • Assist in developing and maintaining the office SharePoint, website, etc.
  • Assist with special projects.
  • On an as-needed basis, assist with maintaining office calendars, scheduling meetings, time and attendance, arranging travel, obtaining visas, making reservations, uploading receipts, submitting vouchers, procuring office supplies, and making maintenance requests.
  • Provide employee time and attendance data to the client’s representative and/or designated Task Manager on a weekly basis or as required.
  • Provide weekly and monthly reports to the client’s stakeholders.
  • Other duties as assigned.
Qualifications

Qualifications – Here’s What You Need

  • Secret Clearance is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

  • Exceptional interpersonal skills with the ability to communicate in a clear, professional, and articulate manner.
  • Exceptional verbal and written communication skills.
  • Excellent organizational, analytical, and problem-solving skills with high-level attention to detail.
  • Proven ability to multitask and prioritize in a fast past environment with changing priorities; adaptable to change and a quick learner.
  • Must be self-motivated and able to work well independently as well as on a multi-functional team.
  • Ability to handle sensitive and confidential information appropriately
  • Proficient in MS Office, Word, Outlook, PowerPoint, and Excel.

Preferred Qualifications:

  • Bachelor’s degree in a relevant field
  • Experience in government, public affairs, or policy-related work
