Overview
The position is located in the Department of Housing and Community Development (DHCD), Single Family Residential Rehabilitation Program. DHCD's mission is to produce and preserve opportunities for affordable housing and economic development and to revitalize underserved communities in the District of Columbia.
Responsibilities- Provide comprehensive administrative, technical, and program support to ensure efficient operation of the office and successful execution of program activities.
- Manage the flow of inquiries and correspondence, determine appropriate actions, and maintain accurate control records and documentation; ensure all print and electronic records are properly organized, reviewed, and filed.
- Deliver timely, professional, customer-focused service to internal staff, external partners, and all program stakeholders.
- Respond to inquiries requiring technical knowledge and refer other inquiries to appropriate office staff or other organizations as required.
- Handle various requests for information and resolve or assist in resolving conflicts that may arise.
- Receive and screen incoming correspondence and determine appropriate action; identify items that can be acted upon personally and take necessary action; refer others to supervisors as needed.
- Maintain control records on incoming correspondence and action documents; follow up on work in process to ensure timely reply or action.
- Perform administrative, program, and technical work to support the assigned program; apply broad technical and administrative procedures to support managers, supervisors, and high-level specialists.
- Prepare, receive, review, and verify office documents; maintain office records; compile data for reports; manage project calendars; inform staff of deadlines and important dates.
- Receive requests for information from other offices concerning programs under the supervisor's control; compose general correspondence pertaining to administrative matters (e.g., letters, memoranda, reports); review documents for signature for correct format and policy compliance.
- Coordinate corrective action with the appropriate official when errors are identified; act as liaison between the supervisor and departmental staff; provide timely, accurate information regarding required reporting requirements.
- Coordinate submission of reports and data (progress, status, and fiscal reports, budgeting) to ensure program requirements are met; reconcile monthly reports in automated data management systems when necessary.
- Provide guidance on procedural and policy requirements related to regulatory reporting for the assigned program; keep staff informed of program issues and changes affecting the program and regulations.
- Develop and revise staffing patterns to ensure effectiveness of personnel in carrying out the program mission; utilize a personal computer for typing, storing, or retrieving information.
Specialized Experience – Experience that equips the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position; at least one (1) year of specialized experience must be equivalent to at least the next lower grade level in the organization’s normal line of progression.

Collective Bargaining Unit: This position is in the collective bargaining unit represented by AFGE Local 2725 and you may be required to pay an agency service fee (dues) through direct payroll deduction.
Position Destination: This position has been deemed Security Sensitive under the DC Personnel Manual. Incumbents must pass criminal background and consumer credit checks as a condition of employment and will be subject to periodic background checks.
