Position Summary:The Office Administrator plays a central role in ensuring the smooth day-to-day operations of our small event management and fundraising consulting firm. This position is responsible for administrative operations, financial coordination, client and vendor support, and internal systems that allow consultants and event teams to focus on delivering exceptional events and fundraising results. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable wearing multiple hats in a dynamic, deadline-driven environment.
Key Responsibilities include:Office & Administrative Operations
- Manage daily office operations, systems, and workflows
- Serve as the primary point of contact for general inquiries (phone, email, mail)
- Maintain organized digital and physical filing systems
- Coordinate office supplies, equipment, and vendor relationships
- Support onboarding and offboarding of staff and contractors
- Assist with invoicing, expense tracking, and accounts payable/receivable
- Coordinate with external bookkeeper or accountant
- Track budgets related to internal operations, office projects, etc.
- Prepare basic financial reports and documentation as needed
- Provide administrative support for fundraising events and client projects
- Assist with event logistics, timelines, vendor coordination, and materials tracking
- Manage contracts, proposals, and client documentation
- Manage calendars, meetings, and internal deadlines
- Coordinate travel, meeting logistics, and event schedules
- Help ensure internal project milestones and deliverables stay on track
- Develop, document, and refine office procedures and workflows
- Identify opportunities to improve efficiency and organization
- Maintain CRM, project management tools, and internal databases
- 3+ years of experience in office management, administrative support, or operations
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Proficiency with basic technology, including Microsoft Office and/or Google Workspace
- Comfort working independently and prioritizing competing demands
- Highly organized and detail-oriented
- Proactive problem-solver with a positive, can-do attitude
- Adaptable and comfortable in a fast-paced, evolving environment
- Professional, discreet, and client-focused
- Collaborative team player who takes ownership of responsibilities
- Ability to work in person three days a week in Rockville, MD
- A valid driver’s license is preferred.
- Experience in event management, nonprofit fundraising, or consulting environments
- Familiarity with CRM systems, project management tools, and accounting software
- Experience supporting small teams or entrepreneurial organizations
