USAT Newsroom Operations Specialist

The USAT Newsroom Operations Specialist will support newsroom executive leadership with high‑level administrative, operational, and project‑management responsibilities. This role thrives in a fast‑paced environment, demonstrates strong business acumen, operates with discretion, independence, and strategic foresight, and goes beyond traditional EA duties to drive operational efficiency and cross‑functional alignment. This position reports to the Senior Vice President at the USA Today Washington, DC office and has no direct reports.

Responsibilities
  • Provide executive‑ and manager‑level administrative support, including calendar management, travel coordination, and meeting preparation.
  • Act as a liaison between the executive and internal/external stakeholders, ensuring timely communication and follow‑up.
  • Lead or support special projects and operational initiatives across departments.
  • Monitor and manage key business workflows, ensuring deadlines and deliverables are met.
  • Prepare executive‑level presentations, reports, internal newsletters, and briefing materials.
  • Provide support for staff meetings, such as monthly All Hands and Content Town Hall sessions, including document preparation and basic technical support.
  • Coordinate team operations such as onboarding, invoicing, and vendor management.
  • Identify and implement process improvements to enhance team productivity and collaboration, including training on automation and AI technologies.
  • Maintain confidentiality and handle sensitive information with discretion.
Qualifications
  • Certifications or other relevant academic degrees in business administration, office management, or related field, or equivalent combination of education and experience.
  • At least one year of experience supporting senior executives, with exposure to operations, project management, or business administration.
  • Exceptional organizational and multitasking skills with a proactive mindset.
  • Strong written and verbal communication skills.
  • High proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint, Asana).
  • Ability to work independently, anticipate needs, and exercise sound judgment.
  • Experience in media and content.
  • Familiarity with executive‑level reporting and operational planning.
  • Comfortable navigating ambiguity and shifting priorities.
