We are seeking a highly polished and detail-oriented Legal Secretary to support attorneys within a fast-paced, nationally recognized law firm environment. This role provides advanced administrative and executive-level support, including working directly with senior leadership and high-profile attorneys.
The ideal candidate thrives in a deadline-driven setting, handles confidential information with discretion, and brings strong organizational and technical skills to a collaborative legal team.
Key Responsibilities- Provide high-level administrative and executive support to attorneys, including senior leadership.
- Draft, format, and proofread legal documents, correspondence, presentations, and reports with exceptional attention to detail.
- Manage complex calendars, schedule meetings across multiple offices and time zones, and coordinate conference calls and special events.
- Coordinate domestic and international travel, including preparation and tracking of expense reports.
- Prepare and edit client billing, including time entry, invoice revisions, and coordination of special billing requirements.
- Maintain electronic and physical filing systems to ensure efficient document retrieval and compliance with firm policies.
- Handle sensitive and confidential information with professionalism and discretion.
- Coordinate with internal departments and external vendors to support attorney workflow and special projects.
- Assist with preparation of binders, document scanning, transcription, and materials for meetings and client presentations.
- Screen and manage incoming communications in alignment with attorney preferences and firm standards.
- Experience supporting senior partners or firm leadership strongly preferred.
- Strong knowledge of Microsoft Office 365, including advanced Word formatting (TOC, TOA, track changes, cross-referencing, styles, tables).
- Experience with legal billing platforms (e.g., 3E, InTapp, or similar systems) preferred.
- Proficiency in Adobe Acrobat, document comparison tools, and legal transcription software.
- Exceptional written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities under tight deadlines.
- High level of professionalism, discretion, and client-service mindset.
