PURPOSE

This position is responsible for coordinating and executing the administrative work for SEIU Government Relations department and the Government Relations and Political Hub. The incumbent manages large quantities of materials, data, and records, and serves as lead on special projects, conferences, workshops or other specialized programs.

PRIMARY RESPONSIBILITIES

  • Supports department Operations Manager in managing day-to-day and long-term administrative functions within the department, including processing bills and contracts, budget tracking, and leave reports.
  • Orders and maintains supplies and equipment.
  • Coordinates and integrates the work activities of several organizational segments ensuring completion of projects.
  • Receives correspondence for department and program directors; routes mail or responses to appropriate parties and follows-up for completed actions.
  • Screens visitors and callers and answers inquiries involving established procedures or routine matters.
  • Coordinates the work flow with other departments or field staff; revises or clarifies procedures to resolve conflicts or eliminate duplication of work.
  • Ensures that requests for actions or information are directed to appropriate staff as required; ensures that information requests are furnished in a timely manner.
  • Maintains software programs relevant to department operations; integrates data from the Accounting and Information Technology Departments; provides data for programs and produces reports.
  • Analyzes information and assists in writing and preparing materials for conferences, workshops, conventions, meetings, mailings, etc.
  • Trains other support staff and distributes administrative support activities when necessary.
  • Performs other duties as required to support the department.
DIRECTION & DECISION MAKING

This position reports to the department operations manager and the incumbent works independently with minimum supervision.

QUALIFICATIONS & PROFESSIONAL EXPERIENCE

Bachelor’s degree and five (5) years of progressive administrative experience. Equivalency:
Graduation from high school or equivalent and seven (7) years of progressive administrative experience. Or, a combination of education and experience that would provide for the following knowledge, skills and abilities:

  • Thorough knowledge of modern office procedures
  • Knowledge of unions or other advocacy-based organizations
  • Ability to analyze problems, collect data and make sound, logical decisioning
  • Ability to plan, organize and coordinate work and supervise multiple projects
  • Ability to communicate effectively, both orally and in writing
  • Ability to develop proficiency in software package(s)
  • Skilled in the use of personal computers using word processing software and Microsoft Office Suite.
TESTS AND CERTIFICATIONS
  • Ability to type 65
  • Microsoft Office:
    Word Intermediate, Excel Intermediate, and PowerPoint Intermediate.
PROBATIONARY PERIOD

16 weeks

PHYSICAL REQUIREMENTS

Work is generally performed in an office setting, but may be required to work in other settings conducive to performing the work required to complete the assignment, such as field assignments. Long and extended hours and travel required.
