Office Administrator/ Coordinator

- Act as first point of contact in the office and play a crucial role in supporting operations and assisting with day-to-day priorities.
- Contribute to office planning efforts, help gather information, and schedule firm’s social activities, events, and meetings.
- Maintain office inventory and supplies, order and manage catering needs, and support set up and pack down of events.
- Book travel for partners, and process travel and general office expense reports.
- Liaise with various departments to coordinate workflows, troubleshoot operational needs, and support ongoing projects.
- Coordinate personnel staffing calendar, onboarding and offboarding activities, and assist with scheduling and logistics for meetings and office events.
- Assist with tracking information for reports, spreadsheets, and databases to help leaders stay informed on operational metrics.
- Help design internal presentations and plan team-building events, including weekly lunch and learns, and major annual events and initiatives.
- Check and post mail daily and as needed.
- Manage relationships with external vendor contacts for projects, events, and ad hoc needs.
- Serve as a key resource for the office and act as a go-to point of contact in the absence of management.
- Support the firm’s social media presence including management of platforms and company website.

- Operations experience. You have at least three years of relevant experience, including design, creative professional services, architecture, or similar environments.

- Tech-savvy. You are proficient with programs like MS Office, Quick Books, and Adobe Suite.

The salary listed reflects the anticipated compensation range for this position. Actual compensation will be determined based on relevant experience, qualifications, location, business considerations, and internal equity. Final offer amounts are determined at the employer’s discretion.
