Position Title: Program Support Specialist
Constellation is seeking a Program Support Specialist to join our Homeland Security team in Washington, DC. This is a full-time, onsite position supporting day-to-day administrative, scheduling, logistics, and program coordination activities within a federal office environment. This position is responsible for providing administrative and operational support within the office, with a focus on filing, data entry, scheduling, and correspondence. This role also leads the managing program schedules and coordinate meetings using Microsoft Outlook and Teams, promptly resolving scheduling conflicts.
Key Responsibilities:- Assist with logistics and coordination of internal training, workshops, tasker responses.
- Regularly review SharePoint site to identify and implement necessary updates.
- Draft and edit correspondence, briefs, and reports with discretion and tactful judgment.
- Coordinate and assist with the movement of government assets, including office equipment, supplies, and materials.
- Communicate with staff and departments to fulfill logistical and administrative needs.
- Monitor supply levels and assist with ordering and restocking supplies as needed.
- Provide calendar and meeting support, including scheduling, agenda preparation, and note taking for staff meetings and office projects.
- Provide support for maintaining the organizational source requests utilizing a centralized tracker to meet operational needs.
- Monitor and respond to routine inquiries via the shared email box or phone, escalating when necessary to the senior leadership.
- A minimum of three (3) years of experience in a business/administrative support role.
- Ability to follow safety procedures and handle equipment responsibly.
- Bachelor’s degree in Business, Human Resource Management, or a related field.
- Proficiency in Microsoft Office Suite (SharePoint, Word, Excel, Outlook, PowerPoint, Power BI).
- Be a U.S. citizen able to pass a background investigation by the client agency. DHS clearance with CBP or DoD Top-Secret preferred.
