Job Description
:
Our client is seeking a polished and highly organized Senior Administrative Assistant to provide administrative and operational support to a busy policy-focused department, including support for senior-level leadership. The ideal candidate is an experienced administrative professional who can confidently support multiple team members, manage competing priorities, coordinate meetings and schedules, and handle sensitive information with discretion. This position requires strong written and verbal communication skills, attention to detail, and a proactive approach to solving administrative challenges.
- Provide day-to-day administrative assistance to multiple team members and senior leadership within the department.
- Coordinate travel arrangements, including flights and lodging, while assisting with related administrative documentation and reimbursements.
- Process purchase orders, expense submissions, payment requests, and other routine financial paperwork.
- Maintain organized electronic and physical records, assist with document scanning, distribute incoming materials, and coordinate office supply needs.
- Plan and coordinate meetings by managing invitations and RSVPs, arranging venues and catering, preparing materials, and supporting logistics before and during events.
- Assist with the preparation and formatting of professional documents, correspondence, testimony, and other department materials.
- Maintain accurate committee and working-group records within internal databases and prepare membership or contact reports as requested.
- Manage meeting invitations, calendar appointments, and email communications for virtual committees and working groups.
- Serve as a professional point of contact for a variety of internal and external stakeholders.
- Identify administrative obstacles and take initiative to develop practical solutions that improve workflow and efficiency.
- Handle confidential and sensitive information appropriately.
- Assist with special projects and other administrative priorities as assigned.
- 3–5 years of experience in an administrative assistant, executive assistant, or similar support role.
- Demonstrated experience supporting multiple team members and managing competing priorities.
- Strong organizational skills with the ability to prioritize work in a fast-paced environment.
- Excellent written and verbal communication skills with a polished and professional demeanor.
- Experience coordinating schedules, meetings, catering, travel, and administrative logistics.
- Familiarity with expense reports, distribution lists, and general administrative processes.
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
- Experience with Workday or comparable business systems is preferred.
- Associate or bachelor's degree preferred but not required.
