About the Role

We are looking for an ISO Compliance & Documentation Specialist who can organize, manage, and maintain a centralized system for ISO audit records, compliance requirements, evidence, policies, procedures, and related documentation.

The role will involve setting up a structured documentation and compliance system, coordinating with different teams for evidence collection, identifying documentation gaps, and ensuring records remain updated and audit-ready.

Key Responsibilities
  • Collect and consolidate previous ISO audit reports, findings, evidence, policies, procedures, and supporting documents.
  • Identify applicable ISO standards and requirements and convert them into clear checklists and requirements registers.
  • Review existing documentation and identify missing, outdated, or incomplete records.
  • Maintain records of compliance gaps, document owners, action items, and deadlines.
  • Design and implement a centralized ISO compliance repository/document management system.
  • Establish folder structures, document naming conventions, metadata, version control, access permissions, and retention processes.
  • Create reusable templates, checklists, trackers, and workflows for audit preparation and evidence collection.
  • Coordinate with HR, Finance, IT, and other stakeholders for documentation and evidence requirements.
  • Track document ownership and ensure required records are updated on time.
  • Coordinate requirements for integrations with existing third-party systems where required.
  • Document the compliance process and train internal stakeholders on maintaining the system.
  • Conduct periodic documentation checks and support preparation for future ISO audits.
Required Skills & Experience
  • Experience in compliance documentation, quality management systems, audit coordination, process documentation, records management, or a similar role.
  • Strong documentation and organizational skills.
  • Ability to convert requirements into clear checklists, workflows, trackers, and ownership structures.
  • Ability to research standards and requirements and accurately record sources.
  • Hands-on experience with document management systems, shared repositories, spreadsheets, workflow tools, or compliance platforms.
  • Strong MS Excel / Google Sheets skills, including filters, data validation, trackers, and structured registers.
  • Excellent written communication and stakeholder coordination skills.
  • Strong attention to detail and follow-up skills.
  • Ability to work independently and handle confidential information.
Preferred Skills
  • Exposure to ISO standards or ISO audit preparation, such as ISO 9001, ISO 17100, ISO 27001, or relevant standards.
  • Experience setting up document control systems, knowledge bases, compliance repositories, or workflow automation.
  • Experience coordinating data between third-party business systems.
  • Experience working with HR and/or Finance processes.
