The main objective of the Technology Systems & Operations Coordinator position at Tiny Jewel Box is to assist both the Director of Systems and Technology and the Director of Operations. The ideal candidate will have a strong technical background and the ability to adapt to various platforms. A solid understanding of building operations is essential, along with the capability to implement new systems and provide training for the relevant departments.
This individual should be positive, proactive, detail-oriented, and collaborative. Additionally, they should be team-oriented, motivated, and capable of working independently.
- Shipping & Receiving:
Track outbound shipments daily and reconcile them against posted package scans. - Building Operations:
Maintain rolling maintenance files for all three buildings. Coordinate with vendors, brand partners, and the Tiny Jewel Box Assistant Sales Directors regarding facility needs, ensuring all issues are promptly followed up on and resolved. - Permits and Inspections:
Maintain and track the schedule for all necessary building permits, inspections, and subsequent follow-up visits. Ensure that all paperwork is submitted to DCRA in a timely manner and that active permits are stored on-site. - Building Maintenance:
Coordinate and follow up with technicians regarding daily maintenance needs. - Invoicing:
Audit and manage all invoice approvals related to building and maintenance operations. - Budgeting:
Create and submit necessary operating budgets for approval. Track and audit all operating expenses. - Internal Retail Systems:
Assist in reviewing and thoroughly documenting all company processes for the 2026 platform upgrade and write Standard Operating Procedures (SOPs) for processes across multiple departments throughout Tiny Jewel Box. - Additional Responsibilities:
Assist the Director of Systems and Technology with day-to-day operational needs. Provide support in one-on-one training sessions as directed by the Director of Systems & Technology. - Perform any other duties and responsibilities as needed.
- Communication:
Excellent written and verbal communication skills, with the ability to document processes clearly and effectively. - Critical Thinking:
Strong analytical and problem-solving skills, with the ability to analyze operational data and make data-driven decisions. - Technology:
Proficient in Microsoft Applications (i.e., Word, Excel, PowerPoint) and well-versed in technology. - Resource Development:
Experience in creating learning materials; familiarity with learning management systems is a plus. - Adaptability:
Proven ability to thrive in a fast-paced environment and embrace change. - Demonstrated experience in managing multiple projects simultaneously and working autonomously.
