Job Summary
This position will perform a variety of secretarial/administrative duties for the Department of OBGYN through extensive patient contact, including supervision of the department's administrative assistants.
Location: Travel to Bethesda and Washington D.C.
Essential Duties and Responsibilities- Oversee daily operations and supervision of the department administrative assistants including onboarding and offboarding, performance management, and time and attendance.
- Confirm the following reports are tended to: OB RAD Authorization, Labor and Delivery Report, Pending, No-Show.
- Manage confirmation of authorizations for in-office procedures, patient paperwork and ensure tasks are completed in a timely fashion.
- Ensure accurate scheduling by team members for patient appointments, tests and procedures using a computerized scheduling system; prepare appointment notices; provide patient instructions verbally; confirm appointments and register patients into a computerized system.
- Review and manage provider schedule daily for accuracy and double bookings only approved by the provider; enter accurate and timely master schedule entry.
- Obtain, document and verify patient demographic, financial and insurance information using a computerized scheduling system; perform pre-registration activities to gather demographic information; determine medical insurance coverage; identify patients with delinquent accounts.
- Provide periodic training and renew staff expectations for performance and growth.
- Hold daily huddles to reinforce updates in workflow and modulate communication between administrators and providers.
- Pre‑certify all surgical procedures, authorize in‑office procedures and coordinate all preoperative appointments including initiating Rx and radiology orders.
- Contact primary care physician and request necessary referrals for testing.
- Gather all results from preoperative appointments before surgery.
- Fax information to the surgical unit.
- Responsible for clinical mail correspondence for physicians; other miscellaneous administrative duties (medical records requests, etc.);
Touchworks/IDX/Touch Chart. Task or fax procedural reports, labs & reports to referring physicians.
- Education:
Bachelor’s degree preferred or equivalent combination of training and experience is necessary; knowledge of medical terminology. - Experience:
Three years of administrative experience in a fast-paced healthcare setting. - At least one year of supervisory experience is required.
- Experience working with patient records, billing, and scheduling in a clinical setting is needed for this position.
- Experience utilizing a computerized patient scheduling system or computer terminals is necessary.
- Familiarity with medical insurance and medical terminology is preferred along with referral and prescription intake experience.
- Knowledge of IDX patient scheduling/registration systems is preferred.
- Bi‑lingual preferred.
- Walk, bend, twist, and reach above the shoulder frequently in an office setting.
- Must be able to occasionally lift or carry and frequently push or pull up to 20 lbs. as part of the role.
- Regularly exposed to healthcare settings that may require personal protective equipment.
- Requires manual dexterity to operate a computer keyboard, calculator, copier machine, and other equipment.
