Work Schedule: Monday – Friday | 8:00 AM – 5:00 PM | 100% Onsite

They are seeking an experienced leader to oversee a secure mail distribution program supporting a federal agency.

Job Description:

We are seeking a hands‑on Mail Room Program Manager to oversee a high-volume, secure mail operation in Washington, DC. This role will lead daily mail distribution activities, supervise a team of specialists, ensure strict compliance with security protocols, and identify opportunities to improve efficiency and reduce operational costs.

This position requires a strong operational leader who can step in, evaluate current workflows, implement process improvements, and manage performance in a deadline-driven environment.

Key Responsibilities:

Operations Management
  • Direct daily mail processing, distribution, tracking, and delivery functions
  • Oversee accountable and sensitive mail handling procedures
  • Monitor service levels and ensure adherence to strict deadlines
  • Utilize shipping systems, scanners, and tracking tools to maintain chain‑of‑custody integrity
  • Evaluate workflow efficiency and implement cost‑saving improvements
Compliance & Security
  • Ensure all mail handling procedures meet federal security standards
  • Maintain compliance with established screening and classified material protocols
  • Oversee documentation, reporting, and audit‑related processes
  • Enforce adherence to standard operating procedures within a regulated environment
Leadership & Team Oversight
  • Supervise a team of 9 staff members, including a lead specialist
  • Develop work schedules and assign responsibilities
  • Train new hires on policies, safety procedures, and workflow expectations
  • Monitor productivity, accuracy, and performance standards
  • Provide coaching, evaluations, and corrective action as needed
Client & Stakeholder Support
  • Serve as primary point of contact for on‑site agency partners
  • Resolve mail discrepancies, tracking issues, and service concerns
  • Communicate updates clearly and professionally in high‑pressure situations
Qualifications:
  • 8+ years of mailroom, logistics, or distribution operations experience
  • Prior supervisory or team leadership experience in a fast‑paced setting
  • Experience working in government or secure mail environments strongly preferred
  • Knowledge of secure document handling, classified materials procedures, and audit processes
  • Active Top Secret Security Clearance required
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • High school diploma or GED required

  • This is a fully onsite role in Washington, DC
  • The team is seeking a mid‑level operational leader who can assess current processes and drive efficiencies
  • Ideal backgrounds include federal mail centers, USPS, DHL, Fed Ex, or similar structured distribution environments
  • Candidates must have an active security clearance at time of submission
