Job Overview

The Division of Safety & Facilities brings together University Resilience, GW Police Department, Facilities Planning, Construction and Management, GWorld, Transportation and Fleet Services and Events & Venues to better and more strategically support GW now and into the future. The organization structure streamlines university services, increases shared insights and collaboration, and optimizes GW resources.

This position seeks an Associate Director, Scheduling who reports to the Scheduling Director.

Responsibilities
  • Assists the Scheduling Director in ensuring that university initiatives related to the scheduling and allocation of space meet the university’s mission and fulfill client needs.
  • Coordinates and implements marketing and sales initiatives to promote the use of Events & Venues venue space to existing and potential external clients.
  • Identifies new opportunities to benefit the university, and achieve meaningful business goals; collaborates with the team to determine organizational objectives and priorities.
  • Works with the various administrators and key staff members regarding unique, complex and non-routine requests to deliver quality service while following policies and procedures.
  • Reviews and interprets client requests and prepares contracts for non-university event hosts, ensuring that all policies and parameters are communicated at the time of booking.
  • Tracks deposits and additional payments per contract terms.
  • Liaises with the Venues team to ensure that all contract details are properly implemented; assists with maintaining and updating the division’s website to communicate information accurately.
  • Assists with ensuring the department policies and documents are up to date.
  • Maintains the client database; in the absence of other scheduling staff, assumes responsibilities to ensure business continuity.

Performs other work‑related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications

Qualified candidates will hold a bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience, or a master’s degree or higher in a relevant area of study plus 3 years of relevant professional experience. The degree must be conferred by the start date of the position.

Degree requirements may be substituted with an equivalent combination of education, training and experience.
