Job Overview

Client Service Coordinator (CSC) drives the flow of clients and pets through the hospital, maximizes the productivity of the veterinary medical team, ensures clear communication with associates and clients, and coordinates the care of clients and pets in a friendly and efficient manner, influencing clients to return and refer their families. The CSC promotes Mars, Inc. values, actively recruits new clients, routes client and pet flow for maximum productivity, and supports the hospital’s wellness plan clients.

Responsibilities
  • Actively recruit new clients by promoting hospital services and directing client and pet flow for maximum productivity.
  • Maximize the number of pets seen by the team through a productive and efficiently run hospital.
  • Provide professional, efficient, and exceptional service at all times, including welcoming clients and pets, ensuring comfort, and educating them about pet health and hospital services.
  • Educate clients about Optimum Wellness Plans, preventive care, pet health needs, and hospital services.
  • Assist incoming clients with completion of required documentation, entry of pet information and history, proper collar and tag identification, and prompt service.
  • Assist outgoing clients by providing instructions, information, invoices, dispensing prescription items per the veterinarian’s instructions, selling retail products, and scheduling future appointments.
  • Manage finances by maintaining accurate balances and using proper opening and closing procedures.
  • Conduct administrative functions as necessary.
  • Support organizational goals of total responsibility, mutuality, efficiency, freedom, customer focus, peer relationships, integrity & trust, action orientation, listening, preventative care, communication, priority setting, and time management.
Qualifications and Skills
  • High School Diploma or equivalent preferred. Willingness to have one year related customer service experience; medical background and terminology training preferred.
  • Must be at least 18 years old to perform duties involving radiography and exposure to radioactive substances.
  • Strong written and verbal communication skills in fluent English with proper grammar, style, and vocabulary.
  • Ability to multi‑task, shift attention among multiple tasks quickly and accurately under distracting conditions.
  • Organizational ability: systematic approach, ability to cut through confusion, turn chaos into order, and maintain orderliness.
  • Problem‑solving skills: identify, analyze, and solve problems with practical solutions.
  • Computer skills: comfortable and confident use of Microsoft Word, Excel, Access, Outlook, and specialized software; ability to work at a computer for long periods.
  • Mathematical ability: add, subtract, multiply and divide, compute rate, ratio, percent, and convert units of measurement.
  • Intellectual ability: accurately follow oral, written, or diagram instructions and provide directions.
  • Physical and ergonomic requirements: stand, walk, stoop, kneel, crouch, climb, lift, carry and move up to 50 pounds; good hand‑eye coordination, arm‑hand‑finger dexterity, visual acuity for keyboard use and equipment operation.
  • Ability to be confident around pets (dogs, cats, birds, reptiles, etc.).
  • Work hours may exceed 40 hours per week and include weekends and evenings.
  • Ability to handle moderately high noise levels and routine exposure to pets that may bite or scratch, anesthesia, radiation, biological hazards, and medication/controlled substances.
  • Must possess mental processes for reasoning, remembering, mathematics, and language.
Working Conditions

The position requires working in a hospital environment that may have high noise levels. Duties include standing for extended periods, lifting loads up to 50 pounds, and routine exposure to animals and potential hazards. The role involves working weekends and evenings, and may entail more than forty hours per week.
