The Medical Data Specialist (MDS) is responsible for contributing to the death record review (DRR) process, which includes collecting, reviewing, updating, and analyzing data related to the donation process for assigned Life Center Northwest (LCNW) hospitals as they relate to regulatory compliance and LCNW organizational goals. This position is responsible for adhering to all established standard operating procedures, federal, state and association regulations.

ESSENTIAL

JOB FUNCTIONS Referral Data
  • Utilizing hospital partner electronic medical record (EMR) systems, collects, reviews, and updates donation referral data ensuring accuracy of outcome for data reporting for assigned death record reviews (DRR).
  • Assists with referral timeliness review process.
  • Imports referrals into LCNW’s electronic medical record (EMR) system
  • May assist with donation data input to UNOS.
Death Record Review and Mortality Audits
  • Coordinates directly with hospital staff to receive death lists and establish EMR remote access as needed.
  • Conducts DRR and applicable audit procedures for LCNW hospitals ensuring consistency, accuracy, and timeliness in reporting.
  • Partners with Senior Medical Data Specialist and organ donation services (ODS) leadership to assess missed organ donation potential found on DRR.
Data Trend Analysis
  • Analyzes and provides insight regarding opportunities for quality improvement projects related to donation trends in hospitals as requested.
Process Improvement
  • Assigns variance follow up tasks to staff within LCNW’s EMR
  • Assigns documentation error tasks to staff within LCNW’s EMR
  • Assists with Quality Improvement projects.
  • Assists with auditing referral variance process for completeness, accuracy, and effectiveness.
  • Identifies and implements, with assistance from HD Manager and ODS, documentation process improvement strategies related to referral timeliness, donation potential classification, and final organ disposition.
Training
  • Assists with training on timeliness and DRR process for LCNW staff.
Supervision
  • This position has no formal supervisory responsibilities.
Other Responsibilities
  • Participates in, and may lead, employee committees and events.
  • Complies with applicable laws, regulations, and Life Center policies and procedures.
KNOWLEDGE, SKILLS, ABILITIES
  • Knowledge of medical terminology, regulatory standards, and experience in navigating electronic medical records is required
  • Strong skills in MS Excel are required for this position.
  • Strong teamwork skills.
  • Must be able to work independently on project assignments, escalating items and asking questions when appropriate.

EDUCATION, EXPERIENCE & JOB REQUIREMENTS
  • A Bachelor's degree from a four-year college or university
  • Relevant work experience can be considered and substituted for academic requirements.
  • At least 1 year of experience relevant to project/program support.
  • Proof of COVID-19 vaccination or applicable medical or religious exemption will be required as a condition of employment upon offer.
