The Administrative Receptionist is the first point of contact for residents and visitors calling or visiting the United Presbyterian Home. The Administrative Receptionist handles a wide variety of situations, many changing daily, and is able to delegate and effectively communicate to Department Directors and other team members. Effective communication via in-person interaction, phone and email ensures successful completion of duties in this role.

Responsibilities
  • Answering phone calls as they come in, screening and directing calls appropriately
  • Greeting residents and visitors as they come into the office
  • Receiving payments in person or via mail, receipting and depositing the payments as they arrive
  • Take requests for work orders, gathering the appropriate details and effectively communicating those to the Maintenance Team
  • Sort and open mail as it is delivered, distributing it to the correct department
  • Weekly preparation of “The Periscope” weekly newsletter
  • Oversee meal count process, reporting monthly to Administrative Assistant for billing purposes
  • Maintain resident records across various systems
  • Assist with collection of new resident paperwork and file creation
  • Produce and distribute letters, emails and other communications
  • Maintain organized filing systems both physical and digital
Qualifications
  • Related job experience administrative work
  • Time management skills with the ability to multi-task and prioritize work
  • Attention to detail and organizational skills
  • Proficiency with Windows, Microsoft Office (Word, Excel, Outlook), and the internet required
  • Ability to learn new computer programs
  • Must be a good listener with a pleasant demeanor
  • Ability to communicate effectively with residents, resident families and colleagues
  • Experience working with older adults which shows a positive attitude toward aging and older adults with sensitivity to their needs
