The Marketing & Sales Administrator provides essential administrative and logistical support to the Sales and Marketing teams, with a strong emphasis on accuracy, organization, and confidentiality. This role is responsible for maintaining clean and reliable data, supporting lead and proposal coordination, and assisting with trade show and event logistics. Strong communication skills and a confident phone presence are essential. The ideal candidate is highly detail-oriented, trusted to handle sensitive information, and consistent in maintaining data integrity across systems and documentation.

They are comfortable managing multiple priorities, supporting team workflows, and serving as a professional point of contact for both internal teams and external partners.

Job Responsibilities:

Marketing & Event Support:
  • Assist in the execution of lead generation/marketing campaigns
  • Support and coordinate event and trade show logistics, including booking travel and hotel accommodations, managing registrations, contracts, sales collateral/materials, shipping and receiving, and maintaining organized documentation.
  • Serve as a professional and reliable representative of Kick Charge when interacting with vendors, event organizers, partners, and internal teams.
  • Maintain a clear, up-to-date inventory of all promotional materials and sales collateral, ensuring it reflects current initiatives. Work closely with the Marketing team to confirm inventory levels and plan reorders as needed.
  • Maintain, organize, and regularly clean CRM records in Hub Spot, including large-scale data cleanup, lead organization, segmentation, and ongoing accuracy checks.
  • Assist in scheduling and coordinating prospect/lead meetings, appointments, and follow-ups
Internal Project Support:
  • Support note-taking, follow-ups, and documentation from internal and vendor meetings to ensure action items and updates are captured accurately.
  • Maintain organized documentation related to system updates, changes, and internal workflows.
  • Work within proprietary internal systems and tools, handling information with accuracy and confidentiality.
  • Assist with updating internal systems to reflect approved changes and updates.
Administrative Duties:
  • Handle sales and marketing-related mailings
Qualifications:
  • 2+ years in an administrative, sales support, or marketing coordinator role
  • Strong proficiency with CRM tools (Hub Spot preferred), Google Workspace, and Microsoft Office
  • Excellent communication and organizational skills
  • Confident and professional phone presence
  • Detail-oriented with a strong ability to manage deadlines and multitask
  • Comfortable working in a fast-paced, creative environment
  • Experience in trade show planning or event support is a plus
  • Strong written and verbal communication abilities
  • Experience at a marketing agency is a plus.
Work Location:
  • Must be able to work full-time on-site at our office in Washington, NJ (Warren County)
  • Fridays entire office is remote
