Office Administrator/ Coordinator
Overview
CDD is hiring an Administrative Services Coordinator I to support our Children's Integrated Services (CIS) team. The person in this position will provide administrative support for CIS's Special Accommodations Grant (SAG) program, a grant that funds specialized care and services for children in Vermont child‑care programs.
Responsibilities- Review SAG‑related reports for quality and completion
- Communicate with key program partners to ensure that SAG agreements are accurate, up‑to‑date, and complete
- Prepare SAG applications for review and processing
- Track SAG agreements’ progress toward completion
- Review, process, and track SAG invoices
- Provide logistical support to SAG applicants
- Communicate critical information to program partners as needed
- Communicate effectively about the SAG program within CIS and across CDD
- Perform data entry related to the SAG program
- Help monitor specialized service providers’ professional development efforts
- Effective communicator and collaborator
- Proficient in Microsoft Office Suite, including Excel
- Ability to work at least one day per week at the Waterbury State Office Complex (WSOC)
- Experience working with grant programs or related service‑provision programs
Minimum Qualifications:
- High school diploma or equivalent plus two (2) years or more of administrative support experience
- OR one year of full‑time college coursework in accounting, business, public administration, office administration, or a closely related field plus one (1) year of administrative support experience
- OR two years of full‑time college coursework or an associate’s degree in an adjacent field
- OR one (1) year or more of experience as an Administrative Services Technician IV with the State of Vermont
Note:
Only administrative work experience is qualifying. Administrative support includes functions that keep the organization running or provide resources for programmatic work (e.g., accounting, budget management, grant administration, finance, human resources, payroll, purchasing, or space management).
Special Requirements:
- Experience with the VISION system (Vermont People Soft financial management system) may be required for some positions
