Job Summary
The downtown gallery assistant at Colby College Museum of Art provides a positive and welcoming presence for visitors of all ages at the museum’s Joan Dignam Schmaltz Gallery located in the Paul J. Schupf Art Center in downtown Waterville, Maine. This position requires up to 20 hours per week and may include weekends and evenings.
Essential Functions and Responsibilities- Offer a positive and welcoming presence, providing excellent customer service and informational assistance related to exhibitions and programs.
- Monitor gallery activity, ensure visitors adhere to museum protocols, and respond to any security incidents.
- Serve as liaison and primary point of contact with the Schupf Art Center’s building manager, reporting facility needs and emergencies.
- Work closely with learning and engagement staff on logistics for public and academic programs, preparing resources and tracking visitor information.
- Assist in program execution by providing logistical support for event spaces, guest speakers, tour groups, and pre‑K‑12 visits.
- Provide logistical support for downtown programs, workshops, and training sessions involving community members, students, teaching artists, interns, and student workers.
- Participate in regular meetings with engagement colleagues and local partners to maintain effective coordination of operations and events.
- Assist the Mirken Director of Learning and Engagement with special projects such as data compilation, grant reports, presentations, and document preparation.
- Support engagement team administrative office tasks, ensuring supplies and interpretive elements are stocked and in good working order.
- Use software, data management, and registration tools to support the engagement team.
- High school diploma or equivalent required; professional coursework or post‑secondary education is a plus.
- Three or more years of previous professional experience; relevant engagement and/or administrative experience preferred.
- Highly motivated, flexible, and comfortable with all audiences.
- Commitment to fostering an antiracist, equitable work environment supportive of diverse cultures and backgrounds.
- Outstanding interpersonal, organizational, and communication skills with a high level of motivation and initiative.
- Attention to detail and accuracy; excellent verbal and written communication skills, including clear incident reporting.
- Experience working collaboratively within a diverse organization and with students, faculty, and community partners.
- Ability to work independently or as part of a team, exercising judgment, establishing priorities, and completing projects with minimal supervision.
- Proficiency with Microsoft Office Suite (Word, Excel) and Google Suite (Mail, Calendar, Docs, Sheets, Slides); ability to learn Airtable, Adobe Creative Suite, Eventbrite, Survey Monkey, Workday, and other Colby College tools.
Employee must be able to maintain confidentiality, handle urgent tasks, interact professionally with diverse groups, move within the campus, use a computer, lift up to 10 pounds (occasionally 35 pounds), and maintain visual focus.
