Position Overview
Under general supervision of the accounting manager, the Accounting Assistant provides technical fiscal office support in accounts payable and accounts receivable. Duties include bookkeeping, journal entry, reporting, and computer processing.
Duties & Responsibilities- Accounts Payable – verifies signatures, reconciles invoices with purchase orders or contracts, prepares vouchers or checks, obtains authorized signatures, maintains vendor files, reconciles balance sheet accounts, and prepares vendor history reports and 1099 forms.
- Accounts Receivable – prepares and monitors fund requests, receives program monies, processes deposits, reconciles bank statements, reviews budget detail, collects payments, maintains cash flow records, and records and stores accounting data.
- Other Duties – prepares journal entries, enters and retrieves data from a PC‑based accounting system and Excel, maintains manual and computerized bookkeeping systems, prepares reports, develops internal procedures, communicates with staff and vendors, trains accounting assistants, provides special reports, reconciles errors, supports other fiscal functions, and demonstrates cultural competency.
- Minimum Knowledge – computerized bookkeeping, journal entry, reconciliation, accounting office procedures, general office practices, and basic accounting principles.
- Minimum Skills – record keeping, data reconciliation, arithmetic accuracy, rapid learning of agency policies, independent judgment, prioritization, meeting deadlines, effective communication with staff and funding organizations, filing, PC proficiency, collaboration with assistants, and cultural sensitivity.
- Other Requirements – several years of technical or clerical accounting experience, use of an in‑house computer system, college or technical school accounting education (desirable), criminal background check and clean record, ability to work at a computer full workdays, and limited lifting and reaching.
FLSA non‑exempt, typical Monday–Friday 9:00am–5:00pm, regular onsite attendance required, position represented by the SEIU bargaining unit, Drug‑Free Workplace, and background checks are required.
