Overview
The Project Coordinator – is responsible for planning, organizing, and overseeing the scheduling and deployment of IT field technicians and equipment across multiple sites, Nationwide. This role serves as the operational hub between Sales, field technicians, clients, and internal stakeholders to ensure IT infrastructure projects are delivered on time, within scope, and to the highest quality standards.
Key Responsibilities- Scheduling & Dispatch
- Coordinate and manage daily/weekly schedules for onsite IT field technicians across multiple client sites
- Assign work orders based on technician skillsets, geographic location, and project priority
- Monitor Service Now Case Management System for customer requests
- Adjust schedules in real-time to respond to escalations, cancellations, or emergency dispatches
- Project Coordination
- Track project milestones, deliverables and deadlines
- Maintain accurate project spreadsheets including undeliverables
- Coordinate with technicians ensuring they have the tools and materials needed for on-site dispatch
- Liaise with subcontractors and third-party service providers to support onsite dispatch
- Serve as the primary point of contact for clients during active field service events
- Facilitate post-project debriefs via the Service Now platform
- Escalate technical issues and client concerns to the appropriate Project Manager and Account Manager
- Reporting & Process Improvement
- Maintain dashboards or spreadsheets tracking equipment or consumable utilization and SLA compliance
- Compile weekly and monthly reports for leadership on project status and resource utilization
Required
- 3+ years of experience in Project Coordination, Dispatch, Coordination role
- Demonstrated experience working with or supporting technical field teams (IT, telecom, AV, or similar)
- Proficiency with project management or scheduling tools (e.g., Service Now, Smartsheets or Case management software)
- Strong organizational skills with the ability to manage multiple concurrent projects and competing priorities
- Excellent written and verbal communication skills; comfortable interfacing with both technical and non-technical staff
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)
Preferred
- Associate’s degree in information technology or a related field
- Familiarity with IT infrastructure concepts such as networking, cabling, hardware installation, or point-of-sale systems
- Experience with field service management (FSM) platforms
- CompTIA A+, Network+ and Project+ certification
This is primarily an office-based role with occasional visits to client sites as needed. The position requires the ability to work in a fast-paced environment and respond to after-hours escalations on a rotating on-call basis. Some travel may be required.
