A Front Desk Assistant is responsible for performing clerical tasks within an office setting to support daily operations and manage the client experience. Their duties include answering and transferring phone calls to employees, sorting and delivering mail to employees, and greeting visitors when they arrive for meetings with management and staff.

Schedule: Monday–Friday with occasional Saturdays

Your RoleAs our Patient Coordinator/ CNA / Front Desk Associate
, you’ll serve as both the first and last impression for every patient—balancing exceptional customer service with operational excellence. This hybrid position supports daily administrative functions, patient communication, and treatment coordination.
- Greet all patients with warmth and professionalism
- Check-in and check-out patients efficiently using EMR/CRM systems
- Manage phones, emails, appointment confirmations, and waitlists
- Handle payment processing and invoicing, coordinating rewards programs like Alle
- Pull reports
- Maintain an organized and welcoming reception area
- Create content and work directly with management and our marketing team
- Inventory management
- Guide new and returning patients through consultations and treatment plans
- Present pricing, memberships, and promotional offers with confidence
- Follow up with inquiries and unscheduled consults to increase booking conversions
- Collect and manage intake forms, consent documentation, and patient demographics with 100% accuracy
- Encourage reviews and support overall patient satisfaction initiatives
- Maintain daily flow of the clinic by coordinating with providers and aestheticians
- Support events, open houses, and promotions with RSVP tracking and client outreach
- Assist with skincare product sales and inventory tracking
Monitor treatment room readiness and patient flow - Apply numbing cream, remove IVs, and other CNA duties
Required:
- At least 1 year of experience in a medical, dental, or spa setting (aesthetics preferred)
- Active 120 Hour CNA license
- Strong communication skills—verbal and written—with a warm, polished presence
- Tech savvy with scheduling software, EMRs, or patient CRM platforms
- Highly organized, detail-oriented, and comfortable multitasking in a fast-paced setting
- Discreet, professional, and able to uphold the confidential nature of patient care
Preferred:
- Familiarity with treatments like Botox, fillers, RF microneedling, laser, and IV therapy
- Experience with boulevard or similar software
- Sales experience or ability to confidently recommend products and packages
