ASPYRE of Waukegan - Scheduler

ASPYRE of Waukegan is seeking a highly organized and dependable Scheduler to join our team. The Scheduler plays a vital role in ensuring appropriate staffing coverage throughout the facility by coordinating employee schedules, managing staffing needs, and supporting department leaders with workforce planning.

Duties and Responsibilities
  • Create and maintain staffing schedules for nursing and facility departments
  • Ensure adequate staffing coverage for all shifts in accordance with facility needs and staffing requirements
  • Coordinate replacement coverage for call-offs, vacations, leaves of absence, and open shifts
  • Communicate staffing needs and schedule changes with department managers and staff
  • Monitor overtime, agency usage, and staffing patterns to support operational goals
  • Maintain accurate scheduling records and staffing reports
  • Verify employee availability, attendance, and schedule adherence
  • Assist with tracking and maintaining employee timekeeping records as needed
  • Work closely with Human Resources, Nursing Leadership, and department managers regarding staffing needs
  • Respond promptly to staffing emergencies and last-minute scheduling adjustments
  • Ensure compliance with facility policies, labor regulations, and staffing requirements
  • Maintain confidentiality of employee and resident information
  • Perform other duties as assigned
Qualifications
  • High school diploma or equivalent required
  • Previous scheduling experience in a healthcare, skilled nursing, long-term care, or related setting preferred
  • Knowledge of staffing practices and scheduling software preferred
  • Strong organizational, time management, and problem-solving skills
  • Excellent communication and interpersonal abilities
  • Ability to work independently and manage multiple priorities
  • Proficiency in Microsoft Office, including Excel and Outlook
  • Ability to maintain confidentiality and professionalism in all interactions
