Who we are:

Waukegan Community Unit School District 60 serves nearly 13,000 students in preschool through grade 12 and is located halfway between Chicago, Illinois and Milwaukee, Wisconsin on the shores of Lake Michigan. The District has 1 early learning center, 15 elementary schools, five middle schools and a high school program divided between two 9th
-12th grade campuses. The District encompasses portions of Waukegan, Beach Park and Park City.

Organizational

Relationship:

The Secretary to the Department of Student Outreach is directly responsible to the Director of Student Outreach and indirectly responsible to the Manager of Student Outreach.

Essential Duties and Responsibilities
  • Perform a wide variety of confidential and complex secretarial, clerical, and record-keeping functions necessary for the efficient functioning of the Student Outreach Department
  • Act as a liaison between the public and the Department of Student Outreach in such a manner as to present a positive image of the school district. Welcome and assist parents, students and visitors.
  • Promote educational enterprise through service to students, parents, visitors, and staff.
  • Maintain office equipment and process service requests and/or replenish materials when necessary and within budget allocations.
  • Performs financial duties; deposits, requisitions, and payroll as directed by Director for the department within District Guidelines and Procedures;
    Maintain fiscal record keeping for local and/or grant accounts as assigned, work collaboratively with Accounts Payable to troubleshoot any discrepancies related to fiscal expenditures. Assist with preparation for regular audits.
  • Assist in the preparation of other activities occurring within the Department as assigned, such as: professional development, student assessment, barcoding, summer programs, etc. related to Student Outreach services.
  • Schedule facilities for workshops and meetings.
  • Maintain all program and Departmental documentation in a clear and organized manner.
  • Outreach Support office by using automated equipment such as computers, printers, copy equipment, voice messaging system, electronic mail systems and telephones.
  • Coordinate appointments for the Director and Manager of Student Outreach and maintain their electronic calendar.
  • Provide clerical support to Student Outreach department staff.
  • Assist with maintaining and tracking specific departmental data in a central location such as registration, transportation, and attendance information, utilizing District data systems (e.g. database programs, student information system).
  • Assist with tracking activity account(s) for legal appropriation and audit.
  • Attend meetings and take notes as requested.
  • Maintain department staff information.
  • Assist with data entry and maintenance of data for all ISBE program and grant reports as needed.
  • Will attend any and all trainings necessary to learn new technologies and skills as requested by Administration and/or their designee.
  • Shall hold all confidential information in a state of trust.
  • Collaborate with district and department staff for reports needed for compliance.
  • Perform all other job-related duties as assigned
Qualifications
  • Must have a high school diploma of equivalent;
  • Commitment to the belief that all children, regardless of circumstances, can achieve at high levels.
  • Good communication, organizational, computer, and interpersonal skills required.
  • Demonstrated ability to work with data in multiple computer environments, including but not limited to:
    Windows based PC's, district-wide networked systems including the Student Information System (SIS) and Financial Management System (FMS), Google systems.
  • Effective and efficient word processing skills with knowledge of Microsoft Office suite of programs.
  • Demonstrated ability to multitask effectively and prioritize strategically.
  • Ability to care for minute details and editing skills to ensure reliable and accurate results, verifying information for accuracy.
  • Ability to do record keeping, prioritize and work independently with minimal supervision and follow oral and written instructions.
  • Successfully work in a collaborative environment.
  • Ability to interact in a positive manner with students, staff, parents, outside agencies, and central services staff.
  • Ability to plan, organize, schedule, and manage documents in a timely and effective manner.
