Alternative Education Specialist
The Alternative Education Facilitator is directly responsible to the Director of Alternative Programs and Services. The position is indirectly responsible to Assistant Director of Alternative Programs and Services and will occasionally report to the WHS Principal and Director of Student Support Services during the summer months. The individual will be primarily housed at AOEC/Stephens Center but will be required to perform duties described below at either campus for Waukegan High School and Welcome Center during the summer months.
GeneralDuties
- To perform the assigned secretarial and clerical functions necessary for the effective, efficient operation of the district's various Alternative Programs and Services;
- To act as a liaison between the public and the school system and in doing so, promote the general image of the school system;
- To act as school liaison between all the Alternative Programs and the buildings and offices within the district;
- To promote educational enterprise through service to teachers, students, the public and administrators.
- The Alternative Programs and any reporting for such will take precedence over any other summer projects
- Will provide backup to AOEC Summer School Program during Secretarial Absences
- Welcome and assist students, parents and visitors;
- Answer telephones and distribute messages;
- Computer proficiency required;
- Mail correspondence and transcript requests to employers, social security agency, armed forces, public aid and court offices for present students;
- Send out withdrawal grades, transcripts for withdrawn students attending other schools;
- Provide incoming student's grades to teachers and counselors;
- Perform Education Verifications for outside services;
- Search files for transcript requests from previous students (withdrawn and graduates);
- Assist with graduation processes, including Summer School Graduation for the High School level;
- Work cooperatively with WHS Registrars, Student Support Services and WHS House Offices in providing information or certified copies, when requested;
- Process request for records of students withdrawing from the district and prepare Illinois State Student Transfer from;
- Coordinate and schedule parent meetings and in-take conferences for all the Alternative Programs and Services;
- Maintain and prepare all related payroll forms for the Homebound Tutoring Program and other Alternative Programs;
- Work cooperatively with the high school Registrars concerning all student record needs;
- Assist students in processing all necessary paperwork for work permits and private drivers education programs.
- Maintain transcript changes, enrollment information and attendance data in the student information system for past and current students of the following Alternative Programs: AOEC, Twilight, Ombudsman, ROE (Lake Co. Regional Safe School) Homebound Tutoring, Hospital Instruction and other student placement facilities commonly referred to as Private Facilities;
- Input data (student records) into the transcript file;
- Clear and update old student files (active to withdrawn) including but not limited to the filing of White Cards and Cum folders:
- Coordinate and perform all record keeping and filing of student records for all Alternative Program students in a secured manner;
- Maintain all student transcripts and records necessary for all reports and grants related to Alternative Programs and Services including mid-year and end-of-the-year reports;
- Assist WHS Registrars in end-of- year processing of Transcript Requests and filing during summer break:
- Assist House Secretaries with Cum Folder processing for both incoming and outgoing records during the month of June
- Maintain data by inputting and processing paperwork for all AOEC behavior incidents, including suspensions and expulsions.
- Coordinate student registration for all alternative programs offered through the Division of Alternative Programs and Services.
- During the summer months and when not needed at AOEC and/or the High School, this position may be assigned to the Welcome Center for the month of July to: (a) Register new and returning students in accordance with district procedures and policies; (b) Enter all pertinent registration data into the student information system and maintain registration fields as directed; (c) Maintain confidentiality of all documents pertaining to student registration, homeless, health records and special education ?
