Client Services Representative Job Summary
Full-time | Monday – Friday
The Client Service Representative is a vital member of the Corporate Client Service Representative Team, responsible for overseeing and administering the creation, coordination, and communication of Advanced Practice Provider patient visits within partner facilities. This role delivers exceptional internal and external customer service while serving as a liaison between partner facilities, Oak Medical physicians, nurse practitioners, physician assistants, and fellow Oak Medical team members.
Client Services Representative Duties
- The Client Service Representative serves as a representative of Oak Medical to partner facilities, delivering outstanding customer service to facility staff and Oak Medical providers onsite.
- Schedule Oak Medical provider patient visits within partner facilities.
- Manage daily schedules for physicians, nurse practitioners, and physician assistants.
- Communicate scheduling updates to APPs and MDs in assigned facilities in a timely and efficient manner.
- Participate in call coverage rotation for the main phone line, retrieve voicemails, and effectively address or communicate all related tasks.
- Maintain a master log of patient appointments using standardized workflows to ensure accuracy and accessibility for the entire scheduling team.
- Utilize Microsoft Outlook to respond to partner facility emails regarding new admissions, returning residents, and discharges.
- Coordinate and collaborate with Admission Coordinators, Social Workers, and Directors of Nursing at partner facilities.
- Communicate with clinical staff to complete and return required partner facility documentation, including patient orders, discharges, admissions, consents, guardianship activations, and other assigned paperwork.
- Provide coverage for other CSR team members during absences.
- Follow up with Advanced Practice Providers on pending notes and medical documentation to ensure timely completion. Perform other duties as assigned.
Required Qualifications
- High School Diploma or GED equivalent.
- Proficiency in Microsoft Office Suite, and ability to learn other platforms.
- A positive, and collaborative attitude.
- Proactive problem-solver with strong accountability.
What Could Make You Stand Out
- Prior experience in the medical industry.
- Working knowledge of medical terminology, CPT, and ICD-10 codes.
- Experience in the skilled nursing industry as a Health Unit Coordinator or Certified Nursing Assistant.
