The Repossession Coordinator is responsible for facilitating the repossession process by working directly with third-party vendors to optimize asset recovery and minimize financial losses. Key tasks include evaluating repossession viability through financial data and vehicle assessments, negotiating storage/impound fees, and handling collections on active and charge-off accounts. The role also involves coordinating with vendors, ensuring the proper documentation is submitted for auctions, drafting repossession letters, and assisting in resolving complaints.
The coordinator tracks repossession progress, processes ancillary product cancellations with dealers, and maintains accurate records through vendor reports and Excel. The ability to communicate professionally with third parties is essential for success in this role.
** This is an on-site position that requires reporting to our office in Wausau, WI. The standard schedule for this role is Monday through Friday, 8:00 a.m. to 4:30 p.m.
**** Essential Functions
*** Evaluate and approve repossessions by analyzing financial data, vehicle value, condition, auction outcomes, and logistics to ensure optimal recovery and cost-effectiveness.
* Apply critical thinking to assess risk, manage vendor selection, and determine the best strategy for asset disposition based on market trends and vehicle status.
* Enter approved repossessions into vendor platforms with accuracy.
* Handle outbound and inbound collections on charge-off and active accounts.
* Communicate with vendors throughout the repossession process to ensure smooth coordination.
* Request titles, UCCs, and other necessary documentation for the auction process.
* Monitor accounts online and update transaction notes regularly.
* Draft repossession-related letters using a complex letter matrix, ensuring precision and resolving errors where applicable.
* Forward repossession letters to administrative specialist to be mailed promptly and in compliance with procedures.
* Assist in the resolution of complaints related to repossessions, auto recovery, and related issues.
* Negotiate lower storage/impound fees with vendors to reduce costs and maximize recovery whenever possible.
* Raise uncustomary or outlier vendor fees if discrepancies or errors are suspected.
* Coordinate ancillary product cancellations and communicate effectively with dealers.
* Run vendor reports to track repossession accounts through various stages of the process.
* Track repossession data in Excel with high attention to detail and accuracy.
* Approve extra repo fees up to $500 with vendors while ensuring proper compliance.
* Occasionally review condition reports and set auction floor prices for collateral.
* Perform other duties as assigned by leadership.

Education and Experience
*** High School Diploma or GED equivalent required.
* 2 years of administrative or clerical customer experience required
* 1 year of repossession or collections related experience preferred.
* No certifications or Licenses Required.
* Experience and proficiency in written and verbal communication.
* Experience using telephone, fax, and computer.
* Experience with Microsoft Office Suite.
* Experience with and ability to apply basic mathematical concepts.
** Physical Demands
** While performing the duties of this job, the employee is frequently required to sit, stand, walk, visualize, talk, hear, and handle or touch objects or controls. The employee may occasionally lift, push, or pull up to 20 pounds.
This position is an office-based position where you must be able to sit for long periods of time. The employee will be working on a computer 90% of the time.
