Location: Town of Wausau

The ACS Coordinator provides high-level administrative, operational and scheduling coordination across Acute Care Services programs, supporting both workforce operations and unit-based clinical workflows. This role functions as a central coordination point between leadership, clinical teams, and support services to promote efficient daily operations, effective communication, and alignment with organizational and regulatory expectations.

The ACS Coordinator is trained across the full scope of responsibilities and may have assigned areas of primary focus to support operational efficiency. These areas may include workforce coordination and employee experience or program and unit operations support. Regardless of primary focus, this role maintains working knowledge across all functional areas, provides cross-coverage to support continuity of operations, and adapts to shifting priorities and evolving program needs.

What You’ll Get:

  • The starting pay range for this role is $21.73 -$23.67 based on education and experience.
  • This job is a full-time, in person position, usually working 8:00am – 4:30pm on weekdays.

What You Bring:

Required:

  • High school diploma or equivalent
  • Minimum of two years of administrative, scheduling, or healthcare support experience
  • Proficiency in Microsoft Office and relevant software systems
  • Must possess a valid Wisconsin driver's license and maintain unrestricted driving privileges throughout employment and have use of a personal vehicle.
  • Must meet and continue to meet all requirements for insurability under the organization's vehicle insurance policy.
  • Must be authorized to operate any vehicle and transport clients, patients, or staff as required by the position.

Preferred:

  • Associate’s or Bachelor’s degree in Healthcare Administration, Human Services, or related field
  • More than 3 years of experience in healthcare operations, scheduling, or clinical support environments
  • Experience with scheduling software (e.g., OnShift, UKG) and/or EMR systems

What an Acute Care Services Coordinator does at NCHC:

Workforce Coordination & Employee Experience

  • Coordinates staffing schedules across 24-hour Acute Care programs, including maintaining, updating, and adjusting schedules based on operational needs
  • Responds to staffing changes and facilitates timely coverage through proactive outreach, follow-up, and creative staffing solutions
  • Communicates staffing needs, trends, and potential risks to leadership in a timely manner
  • Supports onboarding processes related to scheduling, including coordination of training shifts and schedule integration for new hires
  • Maintains working knowledge of staffing guidelines, labor considerations, and internal scheduling practices
  • Coordinates and tracks employee incentives, rewards, and staffing-related pay practices in alignment with organizational processes

Operational Systems, Compliance & Leadership Support

  • Conducts routine audits and data tracking to support program monitoring, regulatory alignment, and documentation standards
  • Tracks and organizes compliance-related requirements, including required forms, audits, and program-specific expectations
  • Synthesizes data and trends to support leadership awareness, operational decision-making, and process improvement efforts
  • Coordinates supply ordering, inventory tracking, and distribution to support unit and program operations
  • Facilitates communication, follow-up, and resolution of operational needs, including IT tickets, maintenance requests, and system issues
  • Prepares meeting materials and coordinates logistics for management meetings, rounds, and interdisciplinary communication, including tracking and supporting follow-up actions
