We’re looking for a dependable Transaction Coordinator who enjoys managing the real estate and auction closing process, staying highly organized, and helping deliver a seamless, professional experience for our clients and team.

What You’ll Do
  • Manage real estate and auction transactions from contract acceptance through successful closing
  • Process new pending files by organizing contracts, disclosures, and documents within our CRM and file systems
  • Maintain accurate transaction records, custom fields, task tracking, and workflow updates in the CRM
  • Coordinate daily communication between buyers, sellers, Field Agents, attorneys, lenders, and title companies
  • Track and monitor critical contractual deadlines, contingencies, earnest money, and title work
  • Review transaction files closely for completeness, compliance, signatures, and proper documentation
  • Coordinate closing logistics, including scheduling, settlement statements, and final document distribution
  • Collaborate with accounting, compliance, marketing, and sales teams on commissions and client updates
  • Archive finalized transaction documents and update file statuses following successful closings
  • Support post-closing communication, client follow-up, and online review requests

  • Communication with clients, agents, and external partners is professional, clear, and timely
  • Contract deadlines and compliance requirements are closely monitored and never missed

What We’re Looking For

  • Comfortable utilizing structured workflows, email templates, and digital file systems
Preferred Qualifications
  • 2+ years of experience as a Transaction Coordinator, Real Estate Assistant, or Closing Coordinator
  • Experience working within a real estate brokerage, title company, or related transaction environment
  • Strong knowledge of real estate transaction processes, title procedures, and contract timelines
  • Proficiency with CRM systems and transaction tools (Follow Up Boss, Zip Forms, Dropbox, , etc.)
This Position May Not Be a Good Fit If You
  • Frequently miss deadlines or overlook critical contract dates
  • Need constant direction or reminders to stay productive and keep files moving
  • Struggle with strict organization, document compliance, or high attention to detail
  • Dislike managing heavy email communication and administrative task workflows
  • Are uncomfortable working within structured transaction processes and digital platforms
