Description

This position serves a key role in the Department as the primary receptionist and public liaison for Juvenile Services, resolving general inquiries from the community, law enforcement, and families with discretion and professionalism. Operating under general supervision, the Clerk III performs advanced-level, highly responsible clerical and administrative support duties within the juvenile probation department.

Examples of Duties

The applicant should be knowledgeable of current computer applications, office procedures, and other business-related software as well as having the ability to use fax machines, calculators, copiers, computers, and other related office equipment. Confidentiality and good communication skills are essential as well as the ability to be a team player, have strong organizational, communication, and interpersonal skills.

Essential Duties and Responsibilities
  • Answers telephones: refers calls to appropriate staff and maintains office schedules and appointments
  • Provides customer service to the public (front window, telephone calls, e-mails)
  • Maintains logs of work progress, processing documents, and other records; maintains administrative files and records; opens, sorts, and distributes mail; and maintains reports, files, materials, and supplies
  • Performs general administrative duties such as file, data entry, photocopying and other general office duties as required
  • Assists with movement of visitors to the proper location
  • Responsible for entering all paper and formal referrals and reviewing each case, completing the Assistant District (ADA) screening sheet and forwarding the referral packet to ADA for determination on filing
  • Processes past due notices
  • Assists with other office functions and performs all other related duties as assigned
  • Notarizes court documents
  • Provides English/Spanish translation when needed
Typical Qualifications

Education, Experience & Licenses:

  • Be a U.S. Citizen
  • Be at least 21 years of age
  • Possess a valid Texas Driver’s License
  • High school graduation or GED
  • Two (2) years of experience in clerical work
  • Bilingual – Preferred
