The IDDP Administrative Assistant provides administrative support to the Intellectual and Developmental Disabilities Program (IDDP), including Waiver services. This position assists nursing and program staff with maintaining required documentation, coordinating medical appointments, obtaining physician orders, completing quarterly review support activities, and ensuring records are accurate and up to date. The IDDP Administrative Assistant plays an important role in supporting compliance with agency policies, Medicaid requirements, and state regulations while promoting efficient service coordination for individuals receiving services.

Essential Duties and Responsibilities:
  • Provide administrative support to the IDDP Waiver Program
  • Assist nursing staff with preparation, tracking, and completion of quarterly reviews and required documentation.
  • Coordinate with physician offices and healthcare providers to obtain physician orders, signatures, and supporting documentation.
  • Follow up on outstanding medical documentation and communicate updates to nursing and program staff.
  • Schedule, coordinate, and, when necessary, provide transportation for individuals receiving
  • Waiver services to medical and follow-up appointments.
  • Maintain tracking systems for appointments, physician orders, quarterly reviews, and other required program documentation.
  • Enter and update individual information in the Electronic Health Record {EHR) system accurately and timely.
  • Maintain organized electronic and paper records while ensuring HIPAA compliance and confidentiality.
  • Review documentation for completeness and notify appropriate staff of missing or incomplete information.
  • Assist with quality assurance reviews, audits, and regulatory monitoring activities.
  • Prepare reports, spreadsheets, correspondence, and other program-related documents.
  • Communicate professionally with nurses, physicians, healthcare offices, individuals receiving services, families, and agency staff.
  • Perform filing, scanning, copying, data entry, and other administrative duties as needed.
  • Provide additional administrative support to ensure effective operation of IDDP services.
Schedule:

Part time at 24 hours per week, days and hours to be discussed.
