Job Summary
Reporting to the Dean of the University Honors College, the Part‑Time Academic Administrative Assistant provides essential operational and administrative support. This role ensures the smooth execution of all recruitment activities targeting high‑achieving high‑school and community‑college students. The assistant coordinates communications, manages logistics, maintains data systems, and produces materials that advance the University Honors College goals of recruiting exceptional student talent. The assistant supports the Dean, faculty, and staff by managing daily office operations and coordinating special events.
Key Responsibilities- First Point of Contact:
Greet visitors, answer the main phone line, and manage the general Honors College email inbox, responding to or routing inquiries. - Scheduling & Calendaring:
Manage calendars for the Dean and coordinate room reservations for Honors College spaces and events. - Operations:
Order office supplies, process procurement requests, and handle travel arrangements and expense reimbursements. - Records:
Assist with scheduling student appointments and maintain confidential student and faculty records. - Recruitment:
Assist with on‑campus recruitment visit days, prepare informational materials, and interact with prospective students and families. - Communications:
Curate content for newsletters or social media accounts to promote student achievements and upcoming events. - Event Logistics:
Help plan and execute Honors programming, including guest lectures, workshops, orientation, and major research events. - Meeting Support:
Prepare agendas, reserve presentation equipment, and arrange catering for internal meetings. - Function with considerable independence, applying appropriate policies and procedures within the assigned area of responsibility.
- Associate's degree or an equivalent combination of education and experience;
Bachelor’s degree preferred. - Minimum of two years of administrative, office support, or higher education experience (preferably in an honors college, university admissions, recruitment, or student affairs office).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Strong written and verbal communication skills with a professional and welcoming demeanor.
- Excellent organizational skills, managing multiple priorities and deadlines simultaneously.
- Strong attention to detail and accuracy in data entry, correspondence, and materials preparation.
CWA Range 16 Part‑Time hourly Rate – $29.27 to $33.24. Salaries for internal candidates are determined by the New Jersey Civil Service Commission’s formula. For residency requirements, see https://(Use the "Apply for this Job" box below)..
