We are seeking an experienced, highly organized Office Manager to work directly alongside the Owner of a growing, entrepreneurial company. This is a newly created position designed to take administrative, operational, and organizational responsibilities off the Owner's plate, allowing leadership to focus on strategic growth initiatives.
Location: Near Wayne, NJ (On-Site)
Schedule: Monday-Friday, 9:00 AM - 5:30 PM (flexibility to work 9:30 AM - 6:00 PM)
Base Salary: $75,000 - $85,000, based on experience
Bonus: Discretionary performance-based bonus
- Vacation time (prorated based on hire date)

- Annual compensation reviews based on performance and market conditions
- Serve as the primary administrative and operational support partner to the Owner
- Manage schedules, follow-ups, priorities, and ongoing projects
- Track key initiatives and ensure important tasks do not fall through the cracks
- Coordinate communications between departments and leadership
- Assist with HR-related administration, employee benefits, onboarding, and personnel documentation
- Support accounting and operational processes utilizing ERP and business management systems
- Maintain records, reports, spreadsheets, and business documentation
- Handle a wide variety of administrative, operational, and special projects as needed
- Identify opportunities to improve organization, efficiency, and workflow
- Anticipate needs and proactively address issues before they become problems
- 5+ years of experience in office management, executive support, administration, operations, or a similar role
- Strong attention to detail and commitment to accuracy
- Intermediate Excel skills beyond basic list creation
- Strong follow-through and the ability to track projects, deadlines, and commitments
- Basic understanding of HR administration and employee benefits processes
- Comfortable learning and utilizing business software systems, including ERP platforms
- Experience working directly with senior leadership or business owners
- Demonstrated employment stability and longevity is critical
- Experience with Syspro ERP software
- Some experience with Quick Books or other accounting systems
- Familiarity with Microsoft Office 365 and Outlook
- Experience working in distribution, manufacturing, wholesale, or multiple industries
- Experience utilizing AI tools such as ChatGPT, Claude, or similar platforms
- Strong memory for details, projects, and historical business activities
- Self-starter who proactively identifies tasks and opportunities without needing constant direction
- Comfortable working with a direct, fast-moving leader in a high-expectation environment
- Work directly with the Owner and senior leadership team
