Job Title:

E-002 - Purchasing Agent

Education & Experience

Bachelor's Degree in Accounting, Finance, or Business Administration from an accredited institution. Minimum 3 years of experience in accounting, finance, business office, audit, or procurement, preferably within a school district. Certification as a Registered Public Purchasing Agent or Qualified Purchasing Agent is preferred.

Other qualifications: valid driver’s license with no serious violations; U.S. citizenship or lawful residency; background check clearance; ability to read, write, speak English; proficiency with electronic equipment for data management and communication.

Reports To

School Business Administrator or designee.

Responsibilities
  • Manage, coordinate, and integrate procurement work.
  • Supervise revenue and expenditure work.
  • Ensure contract documentation is timely, accurate, and compliant with accounting principles and public contracting law.
  • Conduct inspections of financial transactions and records to ensure adherence to regulations and procedures.
  • Create and maintain centralized procurement records.
  • Prepare and submit financial information to district administration and government agencies.
  • Prepare procurement requests, budget allocations, and disbursement statements.
  • Perform audit and accounting work related to revenue and expenses.
  • Apply for discretionary grants and alternative funding sources.
  • Prepare and edit cost reports and financial summaries.
  • Compile internal financial reports for district management.
  • Investigate accounts, records, and reports as needed.
  • Assist in designing, revising, and installing financial systems.
  • Apply New Jersey laws and regulations for accounting and contracting.
  • Use computers and electronic equipment to fulfill job functions.
  • Maintain confidentiality of records and discretion in information sharing.
