Job Description

We are seeking a detail-oriented and proactive Project Coordinator with a construction background to support project management and field teams. In this role, you ensure projects run smoothly by managing documentation, coordinating logistics, and supporting day‑to‑day operations across multiple job sites. You will work closely with project managers, foremen, and vendors to keep projects organized, on schedule, and properly documented.

Responsibilities
  • Support project managers with administrative and operational tasks across active construction projects.
  • Process and track requests for information (RFIs), change orders, and submittals to ensure timely completion and accurate documentation.
  • Maintain organized and up-to-date project files, logs, and correspondence for multiple job sites.
  • Coordinate closely with field teams and foremen to assist with scheduling, material deliveries, and project timelines.
  • Assist in managing vendor communication and ensure materials are delivered according to project needs and schedules.
  • Support accounts payable functions, including processing invoices and working within Quick Books.
  • Monitor project progress and follow up on outstanding items to help keep projects on track.
  • Communicate effectively with internal teams, subcontractors, and suppliers to support smooth project execution.
Essential Skills
  • Prior experience in construction, preferably in a project coordination or administrative support role.
  • Strong understanding of construction documentation processes, including RFIs, submittals, and change orders.
  • Experience using Quick Books for invoice processing and accounts payable support.
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills with the ability to collaborate across teams.

Skills & Qualifications
  • Bilingual skills are preferred to support communication with diverse field teams and vendors.
  • Experience using project coordination tools and construction administration software such as Procore.
  • Familiarity with scheduling and project tracking in a construction environment.
  • Ability to build strong working relationships with project managers, field staff, subcontractors, and suppliers.
  • Interest in long‑term career growth within a stable, family-oriented construction organization.
Work Environment

This role is fully on-site, working five days per week in a construction-focused environment. You will collaborate closely with office and field teams, supporting multiple job sites and working with tools such as Procore, Quick Books, and Microsoft Office.
