The Executive Assistant position provides varied administrative, and office functions as needed. The position is based in CIFC’s office in Radnor, Pennsylvania.
RESPONSIBILITIES- Create correspondence, spreadsheets and presentations
- Answer and field telephone calls and forward messages
- Manage various calendars and schedules
- Expense report preparation and review
- Meeting, and conference arrangements (may include ordering, setting up and cleaning up meals), as well coordinating firmwide events
- Greet visitors
- Scan, photocopy and file various documentation
- Inventory and stocking of office, conference room and kitchen supplies
- Maintain kitchen/office cleanliness throughout suite
- Assist in planning meetings and conferences such as Investor and Advisory Board Meetings
- Gather and sort invitation list, create invitations and mailing labels, track responses
- Communication between CIFC and meeting/event venue
- Create mail merges and assist with mailings to investors
- Pick up, sort and distribute mail
- Submit office maintenance issues to building management
- Maintain custodial documents with Treasury team
- Save & File NDA’s
- Create & distribute office/cubicle nameplates
The ideal candidate should be a motivated self-starter and team player who can work well with all levels of management and staff as well as with diverse personalities. Qualified candidates must be well organized, able to work with minimal supervision and should possess the following qualifications:
- Undergraduate degree or high school diploma plus 5+ years relevant experience
- Extensive computer and internet research skills (proficiency in Microsoft Word, Excel, Adobe Acrobat and PowerPoint is essential)
- Outstanding communication and interpersonal skills
- Strong attention to detail and sense of urgency in completing tasks
- Ability to manage and prioritize multiple responsibilities
