St. David’s Episcopal Day School (SDEDS) is seeking a highly organized, detail-oriented, and execution-driven Operations Manager to serve as the operational backbone of the school.

This role is not about setting vision.

It is about ensuring that everything runs consistently, accurately, and professionally.

The Operations Manager will oversee enrollment operations, daily school logistics, compliance, and administrative systems, allowing the Head of School to focus on instructional leadership and culture.

This is a critical role in a school that is moving from informal, inconsistent processes to structured, predictable, and scalable operations.

Key Responsibilities

Admissions & Enrollment Operations (Primary Focus)

  • Manage the full admissions pipeline from inquiry through enrollment
  • Coordinate and/or conduct family tours
  • Track application progress and maintain accurate enrollment data
  • Lead consistent follow-up communication with prospective families
  • Manage Brightwheel workflows and enrollment systems
  • Ensure all required documentation and forms are completed
  • This is a high-visibility, detail-critical function that directly impacts enrollment stability.

Daily School Operations

  • Build and manage school-wide schedules (classrooms, specials, coverage)
  • Coordinate substitute coverage and staffing adjustments
  • Manage staff time-off tracking and coordination
  • Track lesson plan submissions and key academic documentation
  • Oversee report card processes and student records
  • Coordinate logistics for school events and programs

Compliance & Licensing

  • Manage DOE and DHS licensing requirements and renewals
  • Maintain student health records, immunizations, and emergency forms
  • Track staff certifications, clearances, and CPR compliance
  • Ensure the school remains fully compliant with all regulatory requirements
  • Support billing processes, including tuition and add-ons
  • Coordinate payroll-related inputs and adjustments
  • Assist with monthly reconciliations (Brightwheel, credit cards, etc.)
  • Manage ordering supplies and operational materials

Facilities Coordination

  • Serve as primary liaison with church/property team
  • Coordinate maintenance, repairs, and facility-related needs
  • Ensure classrooms and shared spaces are operationally ready

Professional Background

Required

  • Experience in school operations, administration, or a similar coordination-heavy role
  • Strong organizational and systems management capability
  • Experience managing logistics, scheduling, or administrative workflows

Preferred

  • Experience in early childhood or independent school settings
  • Familiarity with enrollment systems (e.g., Brightwheel or similar)
  • Exposure to compliance, licensing, or regulated environments
