The Wildlife Center of Virginia is an internationally acclaimed teaching and research hospital for wildlife and conservation medicine, located in Waynesboro, Virginia, in the heart of the Shenandoah Valley. The Center’s mission is to “teach the world to care about and care for wildlife and the environment.” Since its founding in 1982, the Center has cared for more than 100,000 wild animals, representing 200 species of native birds, mammals, reptiles, and amphibians.

The current annual caseload averages about 4,300 patients.

The Wildlife Center has a professional staff of about 35 individuals who work together in the veterinary, outreach, operations, and advancement departments. While each of these departments carries out different functions, all staff work closely together as a team to support one another and the Center’s overall mission.

Position Description

This position provides confidential executive support to the President, with additional administrative support to the Senior Vice President, Director of Institutional Advancement, and select Leadership team priorities. The role also supports the Board of Directors and related committees through coordination of logistics, preparation of materials, and follow-up tracking.

The Executive Assistant plays an important role in helping maintain efficient day-to-day operations for executive leadership by coordinating schedules and meetings for the President, preparing briefing materials and documentation, and supporting advancement activities through administrative and logistical assistance. This position contributes to donor stewardship and organizational effectiveness by supporting communication workflows, maintaining accurate records and systems, and assisting with coordination across Advancement and Communications efforts.

The ideal candidate is highly organized, detail-oriented, comfortable working with confidential information, and inspired by the Wildlife Center’s mission of conservation, education, and animal care.

Compensation & Benefits

An hourly rate of $18.25 per hour, with additional compensation for overtime.

The work week will be Monday through Friday from 9 a.m. to 5 p.m. Occasional evening or weekend work required for donor events and Board meetings.

  • 80 hours of vacation time per year
  • 40 hours of personal time per year
  • 48 hours of sick time per year [accrued 2 hours per pay period]

  • Work with the President to manage her calendar, scheduling meetings with donors, Board members, staff, and external partners.
  • Serve as a professional point of contact for the President’s Office, handling communications with discretion and confidentiality.
  • Prepare briefing materials, agendas, correspondence, and follow-up notes for donor, Board, Leadership (with SVP), and executive meetings.
  • Coordinate logistics for Board meetings, committee meetings, and executive-level events, including preparation of materials, attendance lists, and follow-up communications.
  • Provide administrative and logistical support to the Senior Vice President and Leadership team as requested, including preparation of materials, coordination of logistics, and tracking follow-up actions.
  • Support organization and maintenance of shared digital files, resources, and assets to improve accessibility and consistency across teams.
