Position Summary InformationAssists the Executive Director in planning, directing and administering HR processes. Enters, tracks and logs data in the following databases: HRIS , Employees Retirement System, TEAMS (Teacher Retirement System) and Slate (employee training database) assists in the preparation of reports; and assists internal and external customers.

Required EducationAssociates Degree
Preferred Education Required Experience3 years experience in Human Resources or related field.

Essential Duties and Responsibilities- Responsible for administration of processes relating to fulltime employees.
- Assist departments with creating position openings and advertise in appropriate media.
- Process applications for full-time positions in People Admin system. Change applicant statuses in People Admin system in order to send notices to applicants regarding application status.
- Prepare job folders.
- Advise departments of hiring processes. Track status of vacancies. Follow up with departments on positions that have remained open for a period of time.
- May assist supervisors in scheduling interviews and checking references.
- Submit criminal history information checks.
- Update employment packets as necessary. Ensure packets appear neat and professional in appearance.
- Meet with each new full-time employee for onboarding and obtain necessary documents for employment.
- Review necessary forms and supporting documentation for accuracy and completion, ensuring timely processing.
- Prepare personnel files. Ensure personnel file contains required/appropriate documentation. Ensure original transcripts are on file as required. Ensure I-9 documentation is current and in separate files; follow retention schedule for I-9 documentation.
- Complete employment verifications.
- Enter and maintain full-time employee information in the HRIS database. Enter necessary changes as approved.
- Enter and maintain employee insurance information in the Employees Retirement System ( ERS ) database and update coverage information when needed.
- Ensure employee coding is correct for each employee reported through the Teacher Retirement System TEAMS monthly reporting database.
- Track all full-time employee training through the Vector Solutions database. Consistently notify employees and supervisors when employee training requirements are not met.
- Communicate with employees regarding Open Enrollment and changes to benefits. Schedule Open Enrollment meetings and invite insurance representatives to speak to employees regarding upcoming changes.
- Research and inform employees of wellness opportunities.
- Counsel with employees regarding retirement benefits and process.
- Conduct exit interviews and follow-up as necessary to ensure proper documentation is received before employee exits.
- Communicate with Payroll Office regarding employee changes.
- Scan documents in Docubase.
- Assist with general clerical tasks including answering phones, filing and distributing incoming mail when necessary.
