Back Office Manager
- Full-time;
Permanent role - Principle Spine and Pain Clear Lake/PHS Corporate Office location
- Monday-Friday 8:00am-6:00pm
- $48,000–$55,000/year

Under the supervision of the Practice Administrator, the Back Office Manager is responsible for the day-to-day operations of the back office including the Customer Service Team, Insurance Verification Team, and Procedure Scheduling Team.
- Ensure the department is opened and closed daily, as per established schedules.
- Obtain, open, and distribute mail appropriately.
- Manage and schedule the personnel.
- Regularly review productivity and make staffing adjustments as needed.
- Hire and train new office staff, set up employee schedules, assist Practice Administrator with employee performance evaluations.
- Exhibit exceptional professionalism and customer service for patients and actively work with employees to increase these qualities.
- Monitor and approve employee timesheets and PTO requests.
- Order and inventory office and clinical supplies.
- Regularly review Procedure Scheduling spreadsheet to ensure all procedures are being scheduled in a timely manner.
- Ensure provider scheduling guidelines are followed in accordance with the clinics and the procedure facilities.
- Ensure authorizations for office visits and procedures are obtained in a timely manner.
- In conjunction with the CSR Lead, ensure scheduling guidelines are followed, ensuring the provider schedules are not overbooked.
- Regularly review office policies and procedures to ensure compliance with federal and state laws and regulations.
- Ensure patient privacy is being maintained according to HIPAA laws.
- Assist with crisis management in all areas of the practice.
- Additional administrative duties as assigned by the Practice Administrator.
- 4+ years’ experience working in a back office medical setting
- 2+ years’ experience in a supervisory role preferred
- 4+ years of medical office billing experience
- Patient Access & Scheduling Manager with strong healthcare operations experience
- Must have strong knowledge of insurance guidelines, procedure scheduling, all aspects of insurance verification, deductibles, etc.
- Working knowledge of medical terminology
- Proficiency with EMR systems and software applications
- Proficient in Microsoft Office Suite applications
- Excellent written and oral communication skills
- Strong understanding of laws and standards of HIPAA regulations
- Exceptional customer service skills mandatory
