Parts Coordinator – Gerber Collision & Glass, Webster, TX

The Parts Coordinator is responsible for delivering an exceptional customer experience by managing the complete lifecycle of parts for each repair order. This includes ordering, receiving, storing, dispatching, and returning parts while ensuring adherence to production schedules and quality standards.

Key Responsibilities
  • Ensure consistent execution of the WOW (Wow Operating Way) plan.
  • Communicate all customer requests and needs to appropriate team members.
  • Work with vendors to order and receive all parts as indicated on repair orders, confirming quality, correctness, and quantity.
  • Ensure timely parts distribution to the shop in accordance with the production schedule.
  • Enter all parts invoices into the recommended Management Information System (MIS).
  • Label, track, and store parts with the vehicle and/or scheduled repairs.
  • Communicate all Parts Price Changes (also known as Parts Price Increases – PPI) to required team members.
  • Order and receive supplemental parts in the MIS and monitor performance of parts, materials and sublet vendors.
  • Reconcile the parts vendor invoice history report daily (e.g., 043 Report).
  • Post and file/scanned invoices and credit memos in a timely manner, ensuring correct negotiated discounts to maintain profit margins.
  • Perform other duties as assigned.
Qualifications
  • High School Diploma or equivalent.
  • 2‑3 years minimum prior CCC1 experience (preferred).
  • 1‑2 years experience with general ledger (accounts receivables/payables) (preferred).
  • 3‑4 years experience in customer service excellence (required).
  • 1‑3+ years of experience working with automotive parts; experience with auto-body parts is a bonus.
  • I‑Car Registered and/or working toward Gold Class certification.
Skills & Abilities
  • Strong communication skills, both verbal and written.
  • Excellent attention to detail and high accuracy.
  • Ability to manage a fast‑paced environment and prioritize tasks under pressure.
  • Working knowledge of vehicle repair practices.
  • Proficiency with Management Information System:
    Summit, Repair Centre.
  • Familiarity with Mitchell, Audatex, Car‑part, Progi, APU, LKQ B2B for parts sourcing.
  • Advanced computer proficiency and solid problem‑solving abilities.
  • Strong organizational skills and teamwork orientation.
Physical Requirements
  • Frequently required to bend, crouch, reach, and handle tools.
  • Lift in excess of 50 lbs. of materials.
  • Must meet the physical demands of the position to perform essential functions.
Compensation

$17.25 – $20.00 per hour, commensurate with location, skill, education, and experience.
