Office Coordinator
Wellspring Family Services has an opening for a full-time Office Coordinator in our Weirton, WV office. The Office Coordinator assists and provides support all of the daily activities of the department, while maintaining strict confidentiality and security of all records, conversations, proceedings, and information pertaining to the agency and clients.
Schedule:
Monday-Friday | 8:30am to 5:00pm

Qualifications:
- High School diploma or GED certificate. An associates degree is preferred.
- Experience working with computers including programs such as Word and Excel, clerical skills such as the ability use a copier, fax, type a minimum or 40 wpm and answering multi-line phone system.
- Excel and Word testing will be required.
- Ability to organize and prioritize workload; ability to think independently and to problem solve; ability to answer crisis calls.
Responsibilities:
- Oversee all general secretarial office duties: answer phone lines, transfer calls, takes messages, send and sort daily mail, and maintain office equipment.
- Maintain a filing system of agency documents including non-electronic forms such as assessment forms, Intake Packets and signature pages
- Collect co-pays, verify insurance and maintain invoices on third party insurance consumers.
- Complete referral form when accepting referrals and route to Medical Records for client number.
- Contact payor sources to confirm reimbursement eligibility.
- Assist the Clinical Supervisor and staff with scheduling appointments for intakes, Treatment Plan Updates that need psychologist participation, psychological testing, therapy sessions and other consumer appointments as needed.
- Maintain documentation in the SCERIS system (electronic medical records)
- Maintain Unit Tracking Report and Service Activity Logs (via excel)
