Location

This position is primarily on‑site at Sun Life’s U.S. headquarters in Wellesley, MA, with occasional support for other U.S. offices in Hartford, CT;
Portland, ME;
Baltimore, MD;
Milwaukee, WI; and Kansas City, MO. Sun Life supports flexible working arrangements across the contiguous 48 states.

Position Overview

The Events & Experience Specialist supports Sun Life’s hospitality service program, delivering in‑person meetings, hybrid events and employee experience services. The specialist provides expert knowledge to meet corporate objectives, quality standards and business goals for our employee experience program.

Responsibilities
  • Ensure seamless event delivery, directing teams and vendors to achieve the event agenda and respond to last‑minute adjustments.
  • Coordinate event/meeting logistics for on‑site meetings, town halls and receptions, including space booking, event orders, vendor communication, food and beverage management, set‑ups, way‑finding, staffing, safety planning and post‑event reporting.
  • Collaborate with Corporate Real Estate to coordinate hospitality experiences, monitor usage and provide insights for improvements.
  • Perform guest services duties at the Welcome Desk, assisting employees with support, questions, coaching, room bookings and last‑minute arrangements.
  • Support cleanliness, safety and hygiene standards, identify hazards and address problems in the office environment.
  • Collaborate with audio‑visual services and technology teams to troubleshoot self‑serve systems and escalating support requests as required.
  • Coordinate food and beverage programs with onsite vendors, process invoices, reconciliations and recommend service improvements.
  • Handle administrative coordination of meetings and expenses, including credit card reconciliations, purchase orders, approvals, chargebacks and ensuring timely financial processing.
  • Maintain site inventory management, operational resource systems, equipment logs and ensure proper maintenance coordination.
  • Serve as a health and safety representative, fire warden and provide onsite first aid as part of the employee safety program.
  • Assist with travel (up to 25% of the time) and perform other duties as required.
Qualifications
  • A passion for corporate events and hospitality services.
  • At least 2years of customer service experience in hospitality environments contributing to events and meeting operations.
  • Outstanding attention to detail and proficiency in creating and maintaining administrative and operational systems with a high degree of accuracy.
  • Self‑starter with initiative, confidence in getting the job done and ability to work under tight deadlines.
  • Experienced in fast‑paced, high‑volume environments and able to build strong business relationships with stakeholders, vendors, staff and team members.
  • Advanced technology skills, including Microsoft Office (Excel, Word, Outlook) and the ability to adapt to new databases, CRM systems and virtual event platforms.
  • Proven track record in tracking expenses and reconciling receipts.
  • Physical ability to lift up to 50lbs and handle equipment set‑up/tear‑down duties.
  • Hospitality industry certifications such as food handling, first aid/CPR or willingness to complete them.
  • Willingness to work flexible hours, including early morning or evening events, and to travel up to 25%.
  • Experience in a corporate environment is required.
Preferred Skills
  • Knowledge of AV industry equipment and terminology.
  • Understanding of customer service standards.
Compensation
