Position: Leads Specialist / Patient Coordinator

Position Overview

The Leads Specialist / Patient Coordinator will serve as the first point of contact for prospective patients. This individual will be responsible for rapidly responding to leads, nurturing prospective patients, scheduling consultations, confirming appointments, and helping maximize conversion rates and provider utilization.

Key Responsibilities
  • Promptly respond to inbound leads via phone, text, email, website inquiries, and social media
  • Follow up consistently with prospective patients to schedule consultations and treatments
  • Confirm appointments and reduce no-show rates through proactive communication
  • Maintain detailed and accurate notes in CRM and scheduling systems
  • Re-engage inactive leads and previous patients through outbound follow-up campaigns
  • Coordinate closely with providers, injectors, and front desk staff to optimize scheduling
  • Educate potential patients on available services, memberships, and promotions
  • Help drive consultation-to-treatment conversion rates
  • Assist with managing online inquiries generated through marketing campaigns
  • Maintain professional, compassionate, and luxury-level customer service standards
  • Support practice growth initiatives and patient retention efforts
Qualifications
  • Previous experience in a Med Spa, aesthetics, cosmetic surgery or wellness
  • Prior call center, patient coordination, inside sales, or appointment setting experience strongly preferred
  • Strong phone communication and customer service skills

    Comfortable handling a high volume of calls, texts, and follow-ups
  • Sales-oriented mindset with ability to build rapport and convert leads
  • Experience with CRM and scheduling software preferred
  • Highly organized with strong attention to detail
  • Positive attitude, professionalism, and reliability required
