Executive Assistant
Accountable to Superintendent of the Wenatchee School District
8 hours per day/260 days per year
Annual Salary: $65,090-$80,090
SUMMARY
JOB DESCRIPTION:
Under the direction of the Superintendent, provides confidential and administrative support of a complex nature. Maintain high-level contacts requiring discretion and initiative. Work independently in handling telephone calls and answering routine correspondence. Serve as recording secretary to the Board of Directors.
RESPONSIBILITIES:
Manages Superintendent's office. Maintain superintendent's work calendar, screen incoming telephone calls and provide secretarial support to the Superintendent. Schedule meetings, attend and take official minutes as directed by Superintendent. Maintain district calendar of events. Coordinate revisions and updates of the District Policy Manual and district policy and procedure website, District Organizational Charts and phone listings. Responsible for District Benefits Fair coordination and purchasing for the Superintendent/Board.
Acts as the Public Records Officer for the district. Receives and processes all Tort Claims and works closely with the district's legal counsel. Supervision of the front reception desk and staff assigned to that area.
Provide secretarial services to Board of Directors. Attend and take official minutes of all school board meetings, workshops and special board meetings. Transcribe and distribute board meeting materials and post on the website. Make necessary arrangements for meetings and travel by scheduling all rooms or location for board events. Maintain current and historical board records in the vault and superintendent's office.
Responsible for news releases for all board functions, board resolutions and the Board website. Create and maintain the board calendar for all meetings, workshops, special meetings and school visits. Plan all Leadership End of Year and August Leadership Advance meetings including arrangements, catering, and meeting materials for the Superintendent's office. All other duties as assigned.
QUALIFICATIONS:
High school graduation or equivalent. Minimum of two years of college-level training in secretarial science desired. Knowledge and secretarial experience at administrative level desired. Excellent secretarial skills, keyboarding 80 wpm, operate Apple computer, printer, scanner and other office machines. Proficiency in Microsoft Office, Google Suite, Excel, PowerPoint, and/or other Apple-compatible presentation software (Numbers, Pages, etc.), Obtain and maintain a current Washington State Public Notary license.
Have the ability to take shorthand/speed-writing and/or use dictation equipment desired. Ability to work under stressful, time-deadline situations. Possess excellent human relations skills. Ability to work independently on multiple tasks and projects. Possess excellent English grammar, spelling and punctuation skills. Ability to conduct research, gather and analyze data, navigate the internet and develop appropriate reports as needed. Requires prolonged sitting.
Attendance and punctuality are important in this position. Ability to have a flexible schedule in order to be available for emergency meetings as needed.

Disclosure Statement and Record Check:
Pursuant to Chapter 486, Washington Laws of 1987, the recommended applicant, if not a current regular employee, will be required to complete a disclosure form indicating whether he or she has been convicted of crimes against persons listed in the law. In addition, a background check, based on fingerprints, will be requested from the Washington State Patrol & FBI. Employment is conditional based upon completion of the record check.
