Wenatchee Dental, a trusted practice supported by Mosaic Dental Collective, is looking for an Assistant Office Manager to support the efficient functioning of the dental office by providing administrative assistance and overseeing daily operations. This role assists in managing office procedures, supervising staff, and ensuring adherence to organizational policies and procedures.

Pay Range: $25-$35.95

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Assist in managing office operations, including but not limited to scheduling, correspondence, office supply management, vendor coordination
  • Dental Insurance, customer service, new patient communication, marketing, and day to day front office coordination and KPI reporting
  • Provide administrative support to the Office Manager, including calendar management, meeting coordination, and preparing reports.
  • Supervise administrative staff, including receptionists, clerical personnel, and office assistants, and provide guidance and training as needed.
  • Assist in developing and implementing office policies and procedures to enhance efficiency and productivity.
  • Coordinate with department heads and staff to facilitate communication and address operational issues.
  • Oversee office maintenance and ensure cleanliness, safety, and compliance with regulations.
  • Assist in managing budgets and expenses, including tracking expenditures and reconciling accounts.
  • Handle customer inquiries and complaints in a professional and timely manner.
  • Collaborate with HR to facilitate recruitment, onboarding, and performance evaluation processes for office staff.
  • Maintain confidentiality of sensitive information and ensure compliance with data protection regulations.
QUALIFICATIONS
  • Strong organizational and multitasking abilities.
  • 5+ years Dental office experience required, with insurance, scheduling, and marketing coordination
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office applications and office management software.
  • Ability to prioritize tasks and work effectively under pressure.
  • Attention to detail and accuracy in work.

    Leadership qualities with the ability to motivate and develop staff.
  • Familiarity with office equipment and procedures.
